The primary purpose of the Project Officer (Contract Administration) role is to provide administrative support the Contract Administration Unit (CAU) within the High Value High Risk Team and more specifically within the Private Public Partnership Unit (PPP).
The primary purpose of the Project Officer (Contract Administration) role is to support the efficient management of hospital contract administration and relevant projects within the hospital setting. The role will be responsible for supporting the Contract Administration Unit (CAU) to meet contractual obligations under the Project Agreement, managing client relationships, engagement, finance and budget reporting.
Key stakeholders also include hospital representatives, project teams, the policy and program areas of Department of Health relevant to the projects, the project design teams, consultants and other relevant areas of VHBA such as Finance, Human Resources etc. The role will involve providing support with facilitation and secretariat as required.

Accountabilities
- Support and contribute to the full life cycle of projects to meet departmental objectives including:
(a) Administration and coordination support for the delivery of projects or sub-projects and their successful completion within resourcing, timeline and budget parameters.
(b) Administration and coordination of projects based on defined outcomes and outputs ensuring departmental objectives are met.
(c) Identify and proactively address operational problems in line with program objectives and policies, escalating issues as required
- Assist with the administration to projects activities to ensure they are delivered in accordance with relevant legislation and government regulations and guidelines.
- Prepare and assist with presentation of reports, governance papers, ministerial briefs, cabinet submissions on project related matters.
- Develop and maintain positive relationships with project team, consultants, and stakeholders to facilitate a partnership approach, using negotiation and persuasion skills to provide positive outcomes
- Provide contract administration and coordination for the delivery of projects to meet Government project objectives, budget and community expectations.
- Provide administrative support to the CAU team, through the provision of quarterly, monthly and ad-hoc payments in accordance with contractual requirements, reporting, taking minutes and preparing agendas and acting as secretariat in assigned project meetings.
- Actively seek opportunities to improve process to enhance customer experience and project outcomes.
- Keep accurate and complete records of your work activities in accordance with legislative requirements and the department's records, information security and privacy policies and requirements.
- Take reasonable care for your own health and safety and for that of others in the workplace by working in accordance with legislative requirements and the department's occupational health and safety (OHS) policies and procedures.
- Demonstrate how the actions and outcomes of this role and work unit impact clients and the department's ability to deliver, or facilitate the delivery of, effective support and services.
