**Description**:
Due to our growth, we are currently seeking an experienced Executive Assistant / Office Manager to provide top-tier support to our highly respected and naturally high-performing CEO, Senior Leadership Team, and our wider Office Teams. This key role involves coordinating travel arrangements, managing our CEO’s diary and calendar, liaising with the board, and preparing for board/senior leadership meetings and events, as well as managing our small head office based in Mascot. As a seasoned EA, anticipating the CEO's needs and adeptly communicating on their behalf will be key aspects of this role. This is a full-time opportunity based onsite in our Mascot head office 5 days a week.
**Day-to-day responsibilities include**:
Providing comprehensive support to our CEO, including diary and inbox management.
Serve as the primary point of contact for all company legal matters.
Manage all company agreements, including those with suppliers (including consultants) and customers.
Act as the initial point of contact for all new suppliers.
Manage all board-related materials and associated requirements.
Prepare and coordinate executive communications, reports, and presentations.
Exercise sound judgment and confidentiality in prioritising and flagging urgent correspondence.
Assist in coordinating company events as needed.
Act as meeting chair in Senior Leadership meetings ensuring accurate documentation and follow-up on action items.
Manage general office operations to maintain a well-equipped and efficient work environment.
Provide basic IT support to employees, including setting up laptops, phones, and troubleshooting issues.
Assist with stock management, ordering, and distribution of uniforms.
Coordinate office supplies, catering, meeting room setups, and general office maintenance.
Oversee daily office operations, including facilities management and logistics coordination for new staff ie uniforms.
**Skills and Experiences**:
To be considered for this role you will possess at minimum 8 + years of senior level EA experience, having supported at C-Suite level. Ideally we are seeking those who have exposure to FMCG, Retail, or Manufacturing sectors, with ability to be able to understand the nuances of this industry and be able to operate effectively within this fast-paced environment. Communication skills are paramount, specifically being able to liaise with all stakeholders, and being able to represent the CEO’s voice.
Considerably valued is someone who is calm and considered, with a bright and positive attitude, who is down to earth and takes great pride in supporting the team.
Experience as an Executive Assistant supporting C-Suite or Executive level.
A proactive, intuitive approach to problem-solving and a positive and flexible approach.
Ability to prioritise and demonstrates a proactive approach.
Strong writing skills (correspondence, policies, and reports) and excellent communication skills.
High level of discretion and confidentiality.
Advanced MS Office skills (Word, Excel, and PowerPoint)
Ability to manage a busy and ever-changing diary;
Coordinating board meetings inclusive of preparing papers and agendas;
Organising of senior leadership meetings including presentations and reports;
