**Position Summary**
The Executive / Office Assistant is a key support role providing a range of executive support and administrative services to facilitate the delivery of business operations and to support the CEO and Business and Projects Manager (BPM) achievement of organisational objectives.

Brite is an NDIS provider and has operated in Broadmeadows for over 40 years. We currently employ 130 people with disability. In addition, we offer a wide range of support services to further develop our employees’ capabilities to access improved social and economic opportunities in the community.

**About the Role**
**Position Responsibilities**
- Working closely with the CEO - manage diary appointments, correspondence, coordinate and schedule meetings;
- Administrative support to the Business and Projects Manager, which includes: creation and management of documentation, organizational communication, scheduling and logistics for key internal and external events such as board meetings, annual general meetings, special events, staff meetings, etc;
- Prepare and format reports, presentations, documents;
- Support all administrative duties in the office to ensure the office is operating smoothly;
- Maintain database and record-keeping management;
- Controlling policy versions and documents distribution;
- Ability to show initiative and work autonomously, self-managing daily, weekly, monthly and annual tasks;
- In collaboration with colleagues and management, continually look for ways to evolve and improve operational systems and processes improving effectiveness and efficiencies of daily operations;
- Other administrative tasks as required.
**Other Responsibilities**
- Positively and pro-actively represent Brite to external contacts at all opportunities.
- Behave in a way that contributes to a workplace that is free from discrimination, harassment and bullying or intimidating behaviour at all times.
- Operate in line with Brite policies, procedures and work practices (EG: financial, human resources, etc.).
**Knowledge, Skills and Experience**
- Three+ years of demonstrated experience closely matching the above responsibilities.
- Demonstrated time management skills.
- Strong interpersonal and oral/written communication skills.
- Demonstrated ability to learn new information and processes quickly.
- Ability to develop practical solutions and achieve results through the efficient use of resources.
- Comfortable in ambiguity and operating in a changing environment with competing priorities and deadlines.
- Ability to work both independently and as part of a team.
- Manage confidential and sensitive information and documentation with appropriate discretion.
**Requirements**:
- Willing to undertake relevant NDIS Worker Clearance Screening and Working with Children Clearance.
- Fully vaccinated - Covid-19
**Reporting Lines and Stakeholder Relationships**
- This position reports to the Business and Projects Manager;
- Working closely with Brite’s CEO and management team is fundamental to role success;
- Internal relationships include Brite’s management team, all employees, families, and Brite’s Board of Directors;
- External relationships include commercial partners, government departments, peak bodies, key stakeholders and influencers in the local community.
