Sales Support Coordinator

In this role you will provide sales and administrative support to The Signal Group Sales team Promotional Products, ensuring a smooth customer experience from enquiry to shipping, with a focus on exceeding customer expectations and encouraging repeat purchasing.
Key responsibilities will include;
Receive and assess customer enquiries from a variety of sources, including via the website, sales staff, and marketing campaigns. This includes monitoring the customer support inbox.
Assist with answering inbound customer service phone calls to provide support with various aspects of the customer journey, including assistance with placing orders, as required.
Respond to customer enquiries and internal communications in a prompt and professional manner, directing enquiries to appropriate team members or departments as needed.
Develop an understanding of customer needs and preferences to provide suitable product recommendations, including gathering necessary information and clarifying any questions.
Prepare and deliver accurate quotes to customers based on their specifications.
Ensure pricing and terms and competitive whilst meeting Company profitability targets.
Research and identify appropriate products from local and overseas suppliers that meet customer requirements.
Evaluate supplier options to select the most appropriate supplier, based on factors including quality, pricing, and delivery.
Maintain regular communication with suppliers to coordinate orders, including raising purchase orders, approving artwork, resolving issues such as ‘out of stocks,’ and managing order timelines.
Collaborate with internal teams to ensure alignment on client requirements and production schedules, to meet customer expectations.
Assist in coordinating artwork creation and approvals with clients and designers.
Ensure artwork meets client expectations and adheres to brand guidelines.
Facilitate timely approval processes to ensure orders are kept to schedule.
Manage sample requests and shipments in accordance with Company policies and procedures, including coordinating sample selection and delivery to clients and internal stakeholders.
Liaise with the Finance team to initiate invoicing for completed projects or deliveries and provide the necessary details and documentation to support accurate billing.
Ensuring there is coverage across reception, inbound phone calls, and walk-in customers during lunch breaks and busy period.
YOUR BACKGROUND
- Experience in an administration and/or customer service-based role, ideally within a sales environment.
- Strong attention to detail with accurate and efficient data entry skills.
- Strong organisational and time management skills.
- Computer literate, with CRM or production software experience highly desirable.
- Ability to proactively coordinate various stakeholders to ensure customer needs are met.
- Willingness to learn new processes and systems.
- High level of professionalism with the ability to build rapport with a variety of different stakeholders.
