**JOB SUMMARY**

We seek a highly organized and experienced Event Management Executive to join our dynamic team. As an Event Management Executive, you will be responsible for overseeing all aspects of event planning and execution. Your role will encompass budgeting, inventory management. project planning, accommodation arrangements, feedback surveys, event execution, staff management, adherence to requirements, venue communication, vendor coordination, logistics handling, participant inquiries, and contractor negotiations.

**YOUR KEY RESPONSIBILITIES**:

- Handle event budgeting, ensuring financial resources are allocated appropriately and expenses are tracked effectively.
- Manage event inventory, including equipment, material, and supplies required for successful event execution.
- Develop comprehensive project plan to effectively execute events, considering all necessary elements such as timeline, task, and resource allocation.
- Devise accommodation plan for participants.
- Create and implement event feedback surveys to gather valuable insights and improve future events.
- Oversee the seamless execution of events, ensuring all logistics and operations run smoothly and according to plan.
- Adhere to all event requirement, including legal, safety, and regulatory guidelines to ensure compliance.
- Communicate effectively with venues to secure necessary permits, negotiate contracts, and ensure all event needs are met.
- Direct and coordinate vendors to ensure timey delivery of services and products required for the event.
- Handle event logistics such as transportation, setup, and teardown to ensure a seamless and successful event experience.
- Manage participants’ inquiries regarding the events, providing prompt and accurate information to enhance their experience.
- Negotiate with contractors for favorable terms and prices for event-related services and resources.

**JOB SPECIFICATION**:
**You are/have**:

- Strong organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent communication and interpersonal skills to liaise with internal teams, clients, vendors, and participants.
- Proficient in budgeting and financial management, ensuring resources are allocated efficiently.
- Detail-oriented mindset, with a focus on delivering high quality vents that meet and exceed expectations.
- Ability to work well under pressure and handle unexpected challenges or changes during events.
- Proficient in event management software and tools to streamline processes and enhance efficiency.
- Flexible to work evenings, weekends, and extended hours as required by event schedules.

**Languages**:Fluent in English (written and verbal).

**Work Experience**: Proven experience as an Event Management Executive or similar role, demonstrating successful event planning and execution.
