Hourly rate: $34.58/hour + Super
**About Us**:
The Municipal Association of Victoria (MAV) is the peak body representing local government in Victoria. We advocate for the interests of councils, provide essential services, and support local government initiatives across the state. Our mission is to enhance the effectiveness and sustainability of local government to better serve Victorian communities.
**Job Summary**:
We are seeking a professional and friendly Receptionist to be the face of MAV. In this role, you will provide excellent customer service, manage the front desk, and support our team with administrative tasks. Your role will be crucial in ensuring smooth daily operations and positive interactions with visitors and staff.
**Key Responsibilities**:
- **Front Desk Management**:
- Greet and assist visitors, members, and staff in a courteous and professional manner.
- Handle phone calls, directing them to appropriate departments or individuals.
- Manage appointment scheduling and meeting room bookings.
- **Administrative Support**:
- Perform general office duties, including data entry, filing, and document management.
- Process incoming and outgoing mail, packages, and deliveries.
- Maintain office supplies and coordinate orders as needed.
- **Customer Service**:
- Address inquiries, concerns, or complaints promptly and effectively.
- Provide information about MAV services, events, and policies.
- **Operational Efficiency**:
- Ensure the reception area is organized and welcoming.
- Assist with maintaining office equipment and reporting issues to the facilities team.
- **Team Collaboration**:
- Work closely with various departments to support seamless communication and workflow.
- Assist with special projects and events as required.
**Qualifications**:
- **Education & Experience**:
- High school diploma or equivalent; additional qualifications in office administration or related fields are advantageous.
- Previous experience in a receptionist or customer service role is preferred.
- **Skills**:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with office equipment (phones, printers, copiers) and basic troubleshooting.
- **Personal Attributes**:
- Professional and approachable demeanor.
- Ability to handle confidential information with discretion.
- Problem-solving skills and proactive attitude.
