Key Responsibilities
Coordination and Communication:
Act as a liaison between the director, operations manager, and department staff.
Facilitate effective communication and ensure all parties are kept informed of relevant information.
Schedule and organize meetings, appointments, and events.
Human Resources Support:
Assist with general HR tasks such as onboarding new employees, maintaining employee records, and coordinating training sessions.
Support the HR department with recruitment processes and employee relations.
Administrative Duties:
Prepare reports, presentations, and documents as required.
Handle office supplies, equipment, and inventory management.
Office Management:
Ensure the office environment is well-maintained and organized.
Oversee office procedures and policies, ensuring compliance and efficiency.
Coordinate with external vendors and service providers.
Event and Meeting Organization:
Plan and organize company events, meetings, and conferences.
Prepare agendas, take minutes, and follow up on action items.
Required Skills and Qualifications
Excellent communication and interpersonal skills.
Strong organizational skills and attention to detail.
Ability to work independently and prioritize tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Fluent both in English and Mandarin, both written and spoken. Chinese native speaker is preferred.
Minimum of 2 years of experience as a Personal Assistant or Office Administrator.
Ability to handle confidential information with discretion.
Strong problem-solving skills and a proactive approach.
