Glen Eira City Council aims to be an organisation that is high performing, values based and one that strives for innovation. The Planning and Place Division of Council oversee a broad range of services to support Glen Eira City Council including, City Futures, Urban Planning, Community Safety and Compliance and Buildings, Properties and Statutory Building Services.
**About the role**
In this position you will be responsible for project management and the efficient running of the office of the Director Planning and Place. The role provides a full range of high quality and timely executive support, including developing and maintaining efficient and effective office systems, preparing high quality documents, reports, correspondence, and related materials to support the Director. In addition, successfully coordinate projects across the directorate and assist with divisional planning and reporting to stakeholders.
This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Responsibilities include, but are not limited to:
- Project coordination across the Planning and Place Directorate working with managers to prepare high-quality reports and written materials.
- Overseeing a systematic approach to work schedules and communications, including effective diary management and the preparation and coordination of reports, agendas, papers and correspondence.
- Acting as the main point of contact for the Director for both internal and external stakeholders, cultivating collaborative relationships and providing an exceptional level of service and advice.
- Monitoring progress status and completion of Council Plan and Planning and Place plans.
- Ensuring that expressions of concern and enquiries to the office of the Director Planning and Place by the executive team and other stakeholders have a consistent outcome.
**About you**
You are able to develop trusted relationships with the Director, the Planning and Place Management Team and their teams, Councillors, Executives and their EMOs as well as maintaining confidentiality at all times. You have project management experience and rapport building skills with an expertise in maintaining effective working relationships internally and externally at all levels. You take initiative and produce high quality work within strict time limits in an accurate and efficient manner, with excellent time management skills.
The following is also required:
- Degree or diploma in related administration or project management field with at least three years relevant executive or business support experience or lesser formal qualifications and substantial experience in a comparable role.
- Exceptional attention to detail and knowledge of English grammar, spelling, punctuation and expression.
- A friendly but assertive approach to interactions with others.
- Proven ability to assess the urgency/importance of matters and take priority action accordingly.
