As a Project Coordinator within our Technology & Operations team, you’ll support the seamless execution of multiple projects, ensuring they stay on track, on time, and within budget. Reporting to the Head of Portfolio Services, you’ll work closely with cross-functional teams, stakeholders, and senior leaders to help bring exciting projects to life - from innovative content initiatives to technology upgrades that enhance our customer experience.

**What You’ll Be Doing**:
+ Assist in financial forecasting and tracking budgets for projects and portfolios.

+ Oversee resource allocation across multiple teams using SmartSheet.

+ Maintain and update documentation across Confluence, Jira, and SharePoint.

+ Schedule meetings, record minutes, and follow up on action items.

+ Liaise with stakeholders and vendors to track actions, risks, and status updates.

+ Provide status reports and manage project documentation.

+ Maintain registers for issues and risks and assist with process improvements.

+ Support Project and Portfolio Managers in producing executive-level reports.

+ Coordinate project activities, resources, and information to ensure projects are executed smoothly and meet deadlines.

+ Track project timelines, milestones, and deliverables, providing regular updates and reports to the Project Manager and stakeholders.

+ Liaise with internal teams and external partners to support collaboration and maintain clear communication throughout the project lifecycle.

**What We’re Looking For**:
+ Prior project coordination experience or a similar role, preferably within media, technology, or entertainment industries.

+ Experience with Jira and SmartSheet is highly desirable.

+ Organizational and multitasking skills with a keen eye for detail.

+ Excellent communication skills—both written and oral—for effective negotiation, meeting notes, and timelines.

+ Ability to thrive in a fast-paced environment with shifting priorities.

+ Attention to detail—able to spot irregularities and ensure no aspect is overlooked.

+ Relationship management—capable of negotiating commitments and fostering productive working relationships.

+ Time management—managing conflicting demands and adhering to critical project timelines.

+ A strong analytical mindset—able to identify inefficiencies and continuously improve workflows.
