The Property Administration Officer will be responsible for overseeing the day-to-day administrative operations including, but not limited to, coordinating payments in a timely manner, updating the property leasing system, providing facilities maintenance support, and corresponding in a professional manner to our internal and external stakeholders. **To be considered, you must**: - Have full Australian working rights - Be willing to obtain a National Police Check - Be able to pass a Working with Children Check - Demonstrate the WISE attributes: Customer Centricity, Curiosity, Resilience, Adaptability, Creativity and a Growth Mindset **Perks of Working at WISE** - Competitive Salary starting at $60k (Pro Rata) with added Not-For-Profit Salary Packaging benefits (tax savings) + Super + More - Fantastic reward and recognition initiatives and ongoing learning and development - 4 wellness-days per year (additional leave), the ability to purchase additional annual leave and various healthy lifestyle initiatives - Learning and Development Programs - Company Laptop & iPhone - Exclusive benefits and discounts from leading retailers through Flare **A day in the role involves** Property Management, Reporting & Administration - Assisting in managing day to day enquires or request, recording and filling actions accordingly. - Prepare accounts reconciliations and effectively communicate and resolve discrepancies with Landlords/Agents in a timely manner. - Reviewing, approving and entering Outgoings and maintenance works invoices with the guidance of the Facility Coordinator. - Reviewing, approving and entering monthly rental invoices with the guidance of the Property Manager. - Preparing, reviewing and providing feedback on the monthly rent run report. - Manage purchase orders in the Property leasing system (Lease Eagle) as well as the Finance payment system (Tunnel) including raising, attaching invoices, organising relevant approvals, following up outstanding matters, ensuring proper documentation is provided and appropriate processes are followed. - Ensuring supplier documentation is completed accurately and signed by relevant parties (New Supplier Forms). - Update leasing software (Lease Eagle) as applicable or as directed by the Property Manager. - Liaise with Landlord/Property Managers as required. - Liaise with internal staff regarding property matters are required. - Preparation of letters, spreadsheets, checklists and reports as instructed and with the guidance of the Property Manager. - Maintain soft and hard copy filling of leasing related documents and completion of any relevant checklists. Facilities Management - Assisting the Facilities Coordinator manage the Property Maintenance Help Desk to ensure timely maintenance/repair requests are completed from sites. - Assisting the Facilities Coordinator schedule trades people and follow up to ensure works are completed. - Assisting the Facilities Coordinator with general administration tasks as required. - Assisting the Facilities Coordinator maintain the maintenance system (Jira) including but not limited to triaging pending tickets, allocating tickets to relevant staff members, entering updates and closing off tickets where appropriate. - Document management - facilities management records and update the Property Help Desk tickets where appropriate.
