**We are looking for a Project Administrator to join our KBR Transport team in Perth.**

You will be working as part of our Transport WA Business Unit helping our team with bid, set up and run projects. Our Transport team in Western Australia delivers an interesting and diverse range of road, rail and maritime projects all over the state and is participating in some major works, such as the Byford Rail Extension, Tonkin Gap, Morley to Ellenbrook Railway, Bunbury Outer Ring Road and Albany Ring Road as well as numerous smaller design projects from the Great Southern to Kimberley Regions.

**Position Overview**:

- Provide a professional and helpful first point of contact for staff and clients (internal & external);
- Be a reliable source of information regarding the operation and procedures within KBR.
- Word processing, formatting, document production and collation of bids, reports, correspondence, spreadsheets and then finalisation of records (Library database, filing and filing of verification copy if required). Ensure documents are accurate, timely and well-presented;
- Register, format and finalise letters and collect, process, distribute and register incoming and outgoing correspondence;
- Provide administrative support to designated project groups, committees and meetings, including preparation of agendas and minutes;
- Timesheet Administrator - enter and adjust timesheets and produce CATS_DA and CAT_C reports;
- Coordinate and plan functions/conferences as requested;
- Attendance at the Project Administrators meetings to ensure consistency of work practices and networking among project administrators;
- Assist and keep CVs up-to-date;
- Oversee the production of key baseload Project Profiles;
- Keep abreast of upcoming baseload bids; and
- Attend Local Weekly Business Unit Meetings.

Baseload Bid Production
- Enter new opportunities into Salesforce with the assistance of the relevant Industry Lead;
- Assist in the production of bid plans, where required;
- Brief sub-consultants, receive and check their offers of service;
- Attend bid meetings/daily check-ins etc., produce and distribute notes/action lists and the like;
- Ensure bid team members keep to bid plans;
- File documents and correspondence correctly in Documentum;
- Format and edit bid submission documentation;
- Check submission is in accordance with client’s requirements;
- Receive and distribute tender addenda; and
- Download and distribute bid documentation

Project Administration
- Initiate Project start-up including setting up files, Document Management System (DMS) records, adding information into file i.e. contract;
- Fee filing and preparing invoices
- Assist in Audits;
- Initiate and process subconsultant information to produce purchase orders (including checking all required information is present and completing the Terms of Engagement) and drafting Notice of Variations for Subconsultants;
- Process invoices into SAP (service entry sheets) including subconsultants;
- Assist the team in ensuring that contractual obligations for all deliverables and quality requirements are met;
- Proactively assist with project and contract management by following through on outstanding matters e.g. scope changes and variations for both client and subconsultants;
- Assist the team in all aspects of the KBR Management System, including the completion and close-out procedures for projects;
- Ensure that document control processes are followed, using the applicable Integrated Project Management System (IPMS);
- Monitor project compliance with the KBR Management System; and
- Undertake any other task as directed by Direct Manager or Project Manager.

**Skills and Experience Required**:

- Experience in a similar role or considerable experience in project administration;
- Excellent MS suite skills and experience in database management;
- Working knowledge of the Document Management System;
- Ability to work to deadlines and prioritise multiple tasks;
- Excellent communication (written & verbal) and presentation skills;
- Well-developed interpersonal skills; and proven experience of developing relationships with a variety of people from different backgrounds and disciplines.
