Key Responsibilities:
**Administrative Support**
- Manage day-to-day office operations including filing, data entry, and maintaining office supplies
- Process and track customer bookings, appointments, and service requests
- Assist in preparing reports on business performance, customer feedback, and service statistics.
**Customer Service**
- Provide exceptional customer service by greeting clients, addressing issues, and ensuring satisfaction with services provided
- Handle customer complaints and resolve issues promptly and professionally
- Coordinate customer feedback and communicate any service changes or promotions.
**Scheduling and Coordination**
- Schedule appointments for car wash and detailing services, ensuring efficient use of staff and equipment
- Coordinate with technicians and staff to ensure timely delivery of services
- Manage and track appointments and service orders to avoid conflicts and ensure smooth operation.
**Inventory Management**
- Maintain and track inventory of cleaning supplies, detailing products, and equipment.
- Order supplies as necessary, keeping within budget constraints and ensuring stock levels are sufficient for operations.
**Financial and Billing Support**
- Assist in processing payments, issuing invoices, and ensuring financial records are accurately kept.
**Staff Support and Communication**
- Assist with onboarding new employees and ensure all necessary training is provided for administrative tasks
- Communicate policies, procedures, and expectations to staff members
- Help coordinate staff schedules, ensuring proper coverage and efficiency.
**Marketing and Promotions**:
- Support any local marketing or community outreach efforts to increase brand awareness and customer retention.
**Qualifications**:
- Proven experience in office management, administration, or a similar role.
- Strong organisational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment (phones, copiers, etc.)
- Ability to handle sensitive information and maintain confidentiality
- Experience in customer service, ideally in a service-oriented business. Knowledge of inventory management is a plus
- Ability to work independently and as part of a team
- Prior experience in the car wash or detailing industry is a bonus.
This role is key to the smooth operation of the car wash or detailing business, requiring someone who is proactive, organised, and capable of multitasking in a customer-focused environment.
**Job Types**: Full-time, Part-time, Casual
Pay: $46,460.00 - $81,961.02 per year
