Executive Support Officer

Reporting to the Prinical Governacne and Policy Officer, you will be responsible for ensuring effective communication and coordination within the Reform Office, as well as serving as a point of contact with senior government staff. You will facilitate the management of correspondence and other commitments for the Executive and Senior Directors, aligning them with priorities. This involves monitoring important issues and taking follow-up actions as necessary.
In addition, you will establish and nurture close working relationships with the staff supporting the Queensland Health Executive Leadership Teams, including the Minister and Director-General, as well as other senior government staff, business entities, and community groups. The role requires providing expert advice and advanced administration support using information systems related to administrative, records, and correspondence policies and processes. You will possess a strong ability to manage competing priorities, exercise discretion, and maintain professionalism when handling sensitive information. Proficiency in utilizing information systems and a thorough understanding of administrative procedures will be crucial to ensuring the smooth operation of the Reform Office and effective collaboration with various stakeholders.
The successful person
To excel in this role, you must possess a track record of effectively overseeing and prioritizing administrative functions and associated tasks for executive personnel. This includes the ability to proactively initiate, assess, and follow through on work priorities within mandated and challenging timeframes. Furthermore, you should have demonstrated proficiency in managing multiple responsibilities, prioritizing tasks, and delivering outcomes promptly, particularly in an evolving environment.
Moreover, your success in this position relies on your ability to take initiative, make sound decisions, and negotiate effectively. You should be self-reliant and capable of fulfilling your responsibilities as the Executive Support Officer with mínimal guidance or direction. Excellent communication and interpersonal skills are essential, as you will be expected to liaise, mediate, and negotiate with individuals at all organizational levels and a diverse range of internal and external stakeholders. These interactions must be conducted in a sensitive and confidential manner.
