Our opportunity
We have an exciting opportunity for a Capital Works Administrator to join our Sydney Team. You will be responsible for supporting the Capital Works Project Management Team within Technical Services and is accountable managing and delivering the associated process and procedures in accordance with Integrated Investment Portfolio and KPI’s. Whilst effectively managing key stakeholder relationships in providing a consistent service offering.
This is a X Month Fixed-Term Full-Time contract.
**Your duties include but are not limited to**:
Align with the Major Capital Works Framework supporting the Program Coordinator (PMO), Capital Works PM’s, External PM’s and internal Mirvac teams.
Facilitate the Project Brief and Business Case sign off process and ensure all documentation has been provided to raise budget in MRI. Process variation requests and ensure sign off by relevant DLA
Administer project financials and maintain documentation
Provide support to Capital Works PM’s and External PM’s on procurement, invoicing, and payment queries, liaising with Mirvac internal support team (Property Accountants, AP, Finance, Vendor Maintenance, Procurement)
Ensure Capex project files are document controlled and all approved/signed documents are in the correct folder locations.
Maintain all excel tracker workbooks for project financials, invoice processing and budget release
Facilitate the Contract Admin process liaising with External legal, Capital Works PM's, Tech Services GM and CoSec.
Organising drop off and pick up of Contracts with external legal
Coordination of contract sign-off
Ensuring contractual paperwork is doc controlled in Capex folder
Lodgement and retrieval of Bank Guarantees with CoSec
Maintain the shared capex project mailbox ensuring all requests have been actioned and organised into correct folders.
Administer the Project Closeout process and capture Contractor performance feedback in SharePoint Register
Build collaborative relationships with internal and external stakeholders to ensure proactive management and resolution of issues
Drive engagement with various internal stakeholders to gather functional business requirements
Adhering to Mirvac policies and procedures and internal reporting deadlines and providing accurate and high-quality outputs, and quick responses to requests for information
Assisting with any projects, or undertaking additional duties as reasonably required
Your point of difference
You will have exceptional internal and external relationship and stakeholder management skills with a strong commercial outlook.
A pro-active approach with the ability to solve problems, improve system and procedural efficiency and resolve issues as they arise is desirable.
The ability to work independently or as a team with strong administration, time management, and organisation skills is highly regarded.
Finally, you will have good communicative skills, an ability to maintain confidentiality and take a collaborative and professional; approach to dealing with all stakeholders.
