Melbourne Audiology Centre (MAC) is a privately owned audiology clinic. We are focused on clinical and customer service excellence and specialize in assisting people with hearing and tinnitus difficulties. MAC has been delivering client-focused services for 22 years with six locations across the Melbourne area.

We are looking for an experienced and talented Receptionist/Customer Service Officer for our flagship clinic in Fitzroy. The Customer Service Officer (CSO) provides excellent customer service, supports clinical staff and conducts all general office administration duties with our values of clinical excellence, exceptional client experiences and teamwork at the forefront. You will be predominantly working with our admin & clinical team at our Fitzroy location as well as providing cover for other clinics when needed.

**Key Responsibilities include**:

- Reception Duties_
- Greet and welcome patients in a friendly and professional manner
- Respond to inquiries (face-to-face, phone and online) regarding services and products in line with established policies and procedures
- Make bookings for patients and managing appointment bookings
- Supporting Clinical Team_
- Ensure client files are prepared and up to date with all relevant documentation
- Prepare client files for clinicians’ appointments on a daily basis
- Order hearing aids, ensure correct aids are received and prepared for clinicians
- Ensure clinical rooms are stocked and ready for clinicians
- Action items as required by clinicians following appointments
- Basic hearing aid troubleshooting and repairs as per protocols
- Administration Duties_
- Entering administrative notes and maintaining files on the Office Management System (CounselEar)
- Invoicing patients and third-party funders
- Order and receive stock
- Receive payments
- Claim for services from third party funders and receive payments
- Assist the finance office as required including minor accounting duties

**About you**:

- You have strong organisational and time management skills
- You have clear verbal communication with an excellent phone and interpersonal manner
- You prioritise and work efficiently in a fast-paced environment
- You work with a high level of accuracy, and have excellent attention to detail
- You take initiative and are proactive with problem-solving
- You can adapt to learn new software systems and products quickly
- You have Intermediate computer skills (Word, Excel, Outlook)

Experience in face-to-face customer service, reception, and office administration duties such as invoicing, ordering and receiving stock is essential. Experience in the hearing /audiology industry will be highly regarded. This position is available from the 26th of February.

Pay: $60,000.00 - $65,000.00 per year

Schedule:

- 8 hour shift
