12 month fixed term contract for a Property Administrator to join a highly respected property management team in Fremantle, WA. In this key role, you will support the team, including the General Manager and Senior Facilities Manager, and take responsibility for a range of administrative duties and property related tasks.
This exciting role comes with a blend of finance (AP/AR), administration, customer service and tenant/contractor liaison, with additional marketing and operational support and engagement. Since you will be undertaking administration as well as communicating daily with a wide variety of people, you will need to be multi-skilled, organised and with close attention to detail, have the ability to ‘think on your feet’ and be able to interact with a wide variety of stakeholders throughout the precinct, including the team, tenants, contractors and the client.
**Here’s a snapshot of your day;**
- Support the day-to-day management of an iconic retail/office precinct, including finance, tenant liaison, lease administration, purchase orders, as well as general office administration duties.
- Assist with contractor services relating to minor repairs and maintenance and monitoring the vendor performance.
- Establish positive relationships and provide prompt responses to tenant requests.
- Liaise with the onsite 24/7 security team.
- Act as a point of contact for all supplier, tenant, and customer related queries.
- Ensure documentation is up to date and appropriately files/recorded.
- Process and track all AP invoice and expense reimbursements.
- Enter tenant sales, insurance and lease information into the system.
- Prepare and issue weekly/monthly reports to the client.
- Assist with ad hoc administrative tasks and projects as required, including though not limited to, maintaining registers, physical files, minute taking and assisting in the production of detailed reports.
**Here are some of the strengths you’ll need to possess to be successful;**
- Experience in Administration, working in a small, onsite team environment.
- The ability to develop an in-depth understanding of the physical and admin/financial setup of the precinct.
- Sound working knowledge of Microsoft Office365 packing, including Excel.
- Excellent communication and customer service skills and the ability to interact with a broad range of stakeholders.
- Attention to detail to ensure accurate data entry and reporting.
- Strong organisational skills, the ability to problem solve and prioritise multiple tasks.
