Seeking a skilled Receptionist for this 4-6 week assignment.
**Your new company**
Hays is currently partnered with a family services organisation to recruit a Receptionist/Administration Assistant in a temporary capacity with the view to becoming a permanent employee. **Your new role**
This role will require the incumbent to undertake a wide range of administrative duties and will primarily be working the reception desk.
Responsibilities will include
- Manage the phone, including taking messages, directing calls and providing general information to clients.
- Greet, sign in and answer all queries from visitors.
- General housekeeping around the office, including opening/closing.
- Organising stationary orders and stock control
- Scheduling meetings and taking detailed records of minutes and agendas.
- Photocopying, laminating, archiving and binding documents as required
- Maintaining accurate reporting, including following up on any information required and adhering to strict deadlines.
- Lodging property maintenance requests, assisting with follow up/progress of outstanding matters.
- Operate motor vehicle to undertake errands outside of the office, including but not limited to mail, supplies/collection from retailers/suppliers
- Coordinate bookings in the fleet system, assist staff/relevant departments with key/fleet/insurance/maintenance issues
- Assist/coach staff in navigating MS Office Packages and provide any general troubleshooting for IT support.
- Entering of invoices and coding for approval to the relevant Manager.
**What you'll need to succeed**
To be considered for this role, you will have:
- Proven experience in an administration or reception position
- High level computer literacy including Microsoft suite
- Strong administrative skills with particular attention to detail and excellent record keeping.
- Outstanding communication and interpersonal abilities
- Demonstrated ability to manage competing priorities and meet timelines.
- Ability to manage and organise work and self in a systematic, accurate and timely manner
- First Aid Qualifications, or Fire Warden Training/Experience would be highly desirable
- Working with Children’s Check
- Divers Licence
**What you'll get in return**
This role offers you an hourly rate of $34.50 plus super, an initial 4-6-week temporary assignment with the possibility of an extension or permanent placement. This position is part time with hours of 9am to 5pm, Tuesday, Wednesday and Friday. Days worked may be required to change to suit leave requirements.
