**About the role**:
Due to ongoing growth within the organisation we are seeking an Executive assistant to the Executive Director of Change Futures. This part-time role (20 hours per week) offers great flexibility and variability. This role can be split across the week and can fit into school hours if needed.

This role will be based out of our Gordon Park office, as well as our Springwood office and home based as required. Some mileage compensation may be offered as needed.

We are looking for someone with previous experience as an executive assistant who is intuitive and proactive, and who has high attention to detail and excellent communication skills.

**Responsibilities**:

- Diary and calendar management - including scheduling meetings and appointments;
- Support day-to-day meetings - including timetabling, taking minutes, sending reminders, generating follow up tasks and reports, organising hospitality tasks such as food and drinks. These meetings will includes Board meetings, Peer Mental Health network meetings, Leadership team meetings, face to face meetings in other regions, and one-on-one meetings;
- Organise accomodation and travel, including travel dates for meetings in other regions (e.g. NSW);
- Monitor and organise new and existing Reporting contracts - including, monitor deadlines, organise signatures, information collection, gathering contributions from other team members/stakeholders;
- Monitor and organise organisational and personal insurances;
- Oversee the Facilities Manager role and assist in small projects as needed, such as organising office refurbishment or new office set ups;
- Follow up on any requests from the leadership team and other team members;
- Follow up and organise ad hoc requests - E.g. organising children's therapy resources for our office spaces;
- Organise the office, papers, and desk of the Executive Director;
- Selling unwanted and unused items with assistance from the Facilities Manager (e.g. old phone systems, furniture, etc);

**Selection criteria**:

- Fully vaccinated (COVID);
- Previous experience as an executive assistant is essential. Experience working for a not-for-profit/charity or psychology-based organisation will be highly regarded;
- Exceptional verbal and written communication skills, with the ability to draft correspondence at an executive level;
- High level of interpersonal skills incorporating the ability to demonstrate tact, integrity and confidentiality;
- Excellent organisational skills and attention to detail;
- The ability to anticipate needs, think critically, and offer solutions to problems
- Ability to liaise with senior level stakeholders;
- A highly resilient, flexible approach to managing your day autonomously;
- Criminal history check.

**Desirable Criteria**:

- Working knowledge of Halaxy calendar management system.
