About the Role
We're looking for an exceptionally capable and self-driven Executive Assistant to support our Founder in a fast-paced, creative, and high-performance sales environment.
This is a new role created as we continue to evolve rapidly, with exciting initiatives and projects in the pipeline across Brisbane and the Gold Coast. You'll play a pivotal part in strengthening the team, providing the structure, momentum, and support that allows the Director to stay focused on leading, innovating, and driving growth.
This role is the operational backbone to the Director, ensuring priorities are managed, communication flows seamlessly, and opportunities are executed with precision. You'll be the steady force behind the momentum, anticipating needs before they arise, streamlining processes, and creating the space for strategy, creativity, and growth to thrive
This is not a traditional admin role; it's a hands-on, fast-moving position for someone who thrives on pace, precision, and purpose. From managing schedules and correspondence to translating creative ideas, sales strategies, and company goals into structured action. You'll help turn vision into execution and ensure key initiatives are delivered with clarity, consistency, and impact
Key Responsibilities
- Be the operational backbone to the Director: ensuring she remains focused on leading, innovating, and executing by managing the details, organisation, and flow behind the scenes.
- Protect and manage the Director's time: oversee a dynamic calendar, inbox, and daily priorities to maximise efficiency and ensure she's always moving forward.
- Coordinate and delegate: capture key actions and outcomes from meetings, ensure follow-ups are assigned, and track accountability across the wider team.
- Translate ideas into structure: take sales and marketing initiatives, business goals, and creative concepts, and organise them into actionable steps, timelines, and deliverables.
- Prepare for success: assist in the preparation and execution of client meetings, strategy sessions, and pitches by compiling presentations, briefing packs, and logistics.
- Anticipate needs and remove friction: think ahead to what's coming next and streamline processes so the Director can operate at full speed.
- Coordinate travel, meetings, and key project milestones: ensuring schedules are efficient and logistics are seamless.
- Maintain clear systems and workflows: track priorities, deadlines, and project progress through simple reporting and follow-up tools.
- Assist in event and activation planning: support the team with logistics, run sheets, and on-the-day coordination.
- Prepare concise data summaries: pull sales, marketing, and project performance data into simple Excel reports to help the Director make quick, informed decisions.
- Liaise internally with the Marketing Manager and broader team to ensure the Director's directions are executed effectively.
- Handle confidential information with discretion and maintain a high level of professionalism at all times.
- Be proactive and adaptable: anticipate challenges, respond with initiative, and keep momentum moving
About You
- Highly organised, reliable, and thrives in a dynamic, fast-paced environment.
- A "doer" with strong initiative and the ability to think quickly on your feet.
- Excellent communication and relationship-management skills.
- Strong competency in Microsoft Office, especially Excel, Outlook, and PowerPoint; familiarity with CRMs or project-management tools is advantageous.
- As we continue to grow, confident in supporting senior-level executives in our business and working across multiple business priorities.
- Passionate about property, design, and marketing, with a natural curiosity to learn and grow in the industry.
- Balanced mix of creative intuition, sales knowledge and commercial discipline.
