Your main responsibility is to provide administration support to the Property Management, Leasing and Project teams located in Perth office
- Assist all departments across applicable documentation such new and existing agreements, leases, licenses, legal contracts and communication documents (letters).
- Responsible for the collection and distribution of contract and leasing documentation and ensure documents comply with contract including bank guarantees, insurance policies. Prepare online request to execute forms and issue workflow for execution of contracts.
- Coordinate with head office Marketing team for the ongoing maintenance and curation of website as well as associated social media
- Part of your role will be to assist with audits of lease documents and compliance, contribute to the review and improvement of processes and procedures.
- Work with the Property Management team to administer the companies Environmental Health and Safety Policy (EHS) and attend schedule meetings as required.
- Strengthen relationships with a variety of internal and external stakeholders including tenants, leasing agents, property valuers and other consultants and coordinate with them to ensure an accurate and timely response to queries and information requests.
- Develop and implement Marketing programs for the retail precinct. Administer the Promotion Levy to maximise exposure of the property to the market to attract patrons for the benefit of all tenants.
- Assisting Client-side with the operational delivery of retail tenancies in line with client and contractual requirements; program and procedures; and all relevant legislation
- Ensure tenancies are delivered in a quality and timely manner in accordance with the approved design, delivery, leasing and financial guidelines
- Building relationships with tenants through regular liaison interact with Facilities Management to ensure all repairs and maintenance deliverables are being adequately addressed to a high standard.
- Oversee all mail distribution in and out of the Perth office.
- Assist in meetings and minuting meetings as required.
- Organise and Coordinate Evacuation Training, distribution of communications and act as a Deputy Chief Fire Warden.
- Provide additional assistance to departments as deemed appropriate and can be fulfilled within existing workload.

Qualifications:

- Minimum 2 years’ experience within the industry.
- An understanding of the real estate / property industry is desirable with relevant qualifications
- Good communication skills both written and oral, ability to converse with all levels of staff.
- Proficient in Microsoft Office suite of products
