**About the Role**:
Working alongside the business Director, as well as liaising with our Therapists, the Administration Manager will have be responsible for a small Team that takes care of all Admin, reception and patient bookings. This is very much an autonomous role with plenty of variety.
Your role will involve leading our Admin and Reception Team to provide our clients with experiences that are first class. This includes overseeing, supporting, and refining every detail of the appointment from booking, to making clients feel welcome when they arrive, and ensuring the rest of their therapy journey is something they don’t have to worry about. Training your Team members will also be a big part of this role.
**Key Accountabilities**:
Administration Management
- Diary and wait list management
- Liaising with the Therapists
- Payment auditing and following up on outstanding invoices
- Ensuring compliance in service delivery (Medicare, NDIS, DVA, 3rd party payers, Workcover)
- Auditing of files and documentation
- Development and review of policies and procedures
- Resource stocktakes and ordering
- Communication and liaising with other businesses and professionals (e.g. real estate, telecommunications, tradespeople, cleaners etc.)
Human Resources
- Line management of administration staff (4 to 5 team members)
- Training Admin team members
- Rostering of administration team members
- Recruitment and on-boarding of new administration staff
- Helping Therapists with their booking schedule
- Conducting weekly admin Team meetings
- Team social event organisation
You will also be responsible for demonstrating our values and culture on a daily basis, as you work closely with the team to ensure a happy, supportive and cohesive work environment.
