Based in our newly renovated Forbes Street office in Woolloomooloo, we are seeking a talented, experienced and self-motivated Office Administrator, with a really strong customer focused approach, for this newly created stand-alone role. Based at our front reception, you will be the go-to person for organising all things around the office. Working alongside approx. 50 staff from Mushroom Creative House, Frontier Touring, Mushroom Publishing and Mushroom Labels, you will be surrounded by talented and highly motivated creative people every day.
Key responsibilities of the role include:
- Main front reception duties - including welcoming visitors, artists and guests; and answering phones
- Coordinating and arranging deliveries and couriers
- Maintaining and ordering office and common area supplies including stationery and kitchen supplies
- Ensuring the reception, boardrooms and meeting rooms are always immaculate and welcoming.
- Unpacking and reloading the dishwasher, and ensuring the kitchen areas are presentable
- Sorting (and distributing where appropriate) mail and packages for the building
- General building management/coordination - including liaising with the cleaners and coordinating and managing the onsite activities for maintenance or ad hoc contractors, as required
- Oversee the general building maintenance contractors including garden, interior plants, air conditioning, plumbing, electrical, security etc.
- Running the staff on-boarding and off-boarding for the building, including managing building access cards and doing office tours for inductions.
- Processing invoices for payment relating to general office expenses
- Arranging gifts inc flowers etc, as required
- Assistance with coordination of Mushroom Group staff social activities
- Managing requests and access to the building for meetings and events from the broader Mushroom Group
- Organising events (on & off-site) including coordinating catering, as required
- Coordinating any Covid-19 related activities for the office
- Providing administrative support for any companies within the Mushroom Group, as required.
- Act as the Fire Warden and assist with any OH&S related activities
Reporting to our Business Services Manager who is based in Melbourne, we are looking for someone who has proven experience in working in a similar role and can work independently, possesses excellent communication skills (both written and verbal), a strong attention to detail and most importantly has the willingness to follow through and provide exceptional customer service to internal and external stakeholders.
