**About the Opportunity**:
In addition, you will manage the L&D unit's assets and loan equipment, stocktake activities, stationary requirements, and travel and accommodation for staff members where required.
Working in a dedicated and collaborative team passionate about providing excellent administrative, financial, and executive support to the Director and Managers of L&D, the Executive Services Officer reports to the Principal Project Officer, Learning & Development.
**About the Role**:
As the Executive Services Officer, you will have responsibility for the following:
- Maintain effective time management practices for the Director including coordinating diary appointments, prioritising correspondence and responding to outstanding queries and requests for information.
- Coordinate the flow of correspondence, including interpreting requests, distributing, receipting and tracking, ensuring the efficient and timely preparation of briefs and responses on behalf of Learning and Professional Development, and reporting any potential slippages.
- Administer the payment, recording and reconciling of corporate credit card, travel claims and invoices in line with departmental guidelines.
- Assist with ordering, purchasing and auditing of assets and other office equipment in line with departmental guidelines.
- Maintain and input into financial, IT and HR records and databases for compliance and audit as per relevant departmental policies and guidelines.
- Contribute to the formulation and management of procedures and guidelines with respect to administrative issues.
- Maintain records management systems, and administer the flow of correspondence relating to projects and programs, including any follow up action.
- Undertake general IT, HR and finance administrative duties, providing routine information and advice on administrative, human resource and financial issues to management and staff.
