Executive Services Officer

In the role of Executive Services Officer, you will provide efficient, professional and confidential executive support services to the General Manager (Transport Policy Branch).
This is an exciting opportunity to join a professional, multi-disciplinary team, providing high level support to the Branch. Working in a fast-paced environment, flexibility, initiative and confidentiality will be required for dealing with staff at all levels. You will have the satisfaction of assisting the Leadership team to deliver the business outcomes for the Branch and Division whilst developing your own skills and capabilities.
**Accountabilities include**:
- Coordinate the daily business of the General Manager (Transport Policy Branch) by regularly reviewing diary, organising meetings including coordination of attendees, meetings papers and meeting minutes, and proactively considering travel demands.
- Communicate and liaise with managers and senior executives from public and private organisations on a wide range of issues, respect confidentiality and maintain effective work relationships.
- Assist with the coordination and quality assurance of ministerial and executive correspondence, and adhoc information requests, ensuring issues are escalated to Principal Advisor (Office of the General Manager) and the General Manager where appropriate and timeframes are met.
- Demonstrate effective written, oral and interpersonal communication skills, including ability to clearly and concisely analyse and express ideas and issues. Organise work within agreed timeframes and with minimum supervision.
- Provide high level administrative support such as organising travel, corporate card payments, stationary orders and record management for the Transport Policy Branch.
- Ensure appropriate governance frameworks are maintained and adhered to as per TMR guidelines.
- Actively participate in performance conversations to build and support a culture of continuous improvement. Participate in training and development opportunities as necessary to achieve personal and team objectives.
- Actively participate in team conversations and comply with team processes. Assist co-workers and the Principal Advisor (Office of the General Manager) as required.
This role reports to the Principal Advisor (Office of the General Manager).
