**About the role**

You have experience in commercial building, property or facilities management and enjoy working in a dynamic environment as a key member within our VFF team. You will oversee the daily operations and maintenance of the commercial property, Farrer House in Collins St, Melbourne, conducting both property and facilities management functions. You will liaise with current and prospective tenants, coordination and management of maintenance, housekeeping, and security activities, and ensuring compliance with regulatory standards and codes.

**Key Duties and Responsibilities**
- Registering, coordinating, and overseeing regular building maintenance and repairs
- Ensuring as safe environment for building occupants and visitors
- Manage and oversee the operation and function of the building and it’s services whilst developing and maintaining relationships with tenants and contractors
- Managing and implementing the building asset register and preventative maintenance schedule to ensure all plant and equipment is regularly maintained
- Issuing work orders and verifying invoices
- Being an on-site contact for owners, tenant and occupants
- Periodic site inspection of all common property
- Registering common property access devices such as keys, swipes, and remotes
- Record keeping of all services, costs and expenditure associated with contractors authorised by the owner’s corporation
- Ensuring building compliance and safety is maintained, and coordinating certifications including lifts, fire systems etc. through creation and implementation of preventative maintenance plans (PMP)
- Coordinate projects, including induction and supervision of contractor’s agreed services on-site including obtaining and recording all documents from contractors (such as their insurance certificate and copy of a business/contractor licence etc.) to ensure compliance and regulatory requirements are met
- Maintaining the capital works program and recommending cost-effective and sustainable solutions
- Negotiation of office leases, supervision of fit-out processes and oversee move in and move outs
- Prepare correspondence, budgets, briefing packs, reports, and papers. Compose and prepare confidential correspondence, reports and other complex documents as required for VFF Board and Committees
- Coordinate building security passes and keep accurate records for all VFF staff
- Other duties as directed by the CEO

**About you**
- Experience and qualifications_
- Tertiary qualifications in facility management, project management or related disciplined
- 3 + years’ experience within commercial building, property or facilities management
- Demonstrated experience in working autonomously and with a strong eye for detail and follow-up
- Experience in a similar advisory or operational role, within a complex issue-rich work environment will be highly regarded.
- Competencies_
- Well-developed, proactive, and creative problem-solving skills, including the ability to design innovative solutions and identify the necessary levers to get things done.
- Strong interpersonal and verbal communication skills, including presentation, consultation, facilitation, and negotiation
- Strong time management and organizational skills.
- Ability to work collaboratively as part of a close-knit team as well as independently, and to flexibly manage workload and competing demands.
- Excellent oral and written skills
- Experience in collation, editing and distribution of meeting papers and minutes
- Sound experience in Microsoft Office Suite
- Experience using a Client Relations Manager system (CRM) to populate and record tenant and client information
- Strong organisational and planning skills, attention to detail and the ability to prioritise tasks.
- Willingness to support the mission and core values of the VFF
- As this role involves the handling of confidential and sensitive information, the ability to maintain confidentiality and trust within the VFF is a requirement.
