**Description**

About the Position:
With record-breaking investment in rail infrastructure and networks to support more livable and sustainable cities and communities across Australia, we’re expanding our team to meet the demands of our growing project portfolio.

Based in Brisbane, you will be part of dynamic, innovative, and collaborative team renowned for its world-class thinking and solutions.

Key responsibilities:

- Administering projects from award to completion.
- Preparing internal and external contractual correspondence & reports.
- Attending client project meetings where needed, follow up action items to ensure prompt delivery.
- Managing project specific materials, processes and registers.
- Consulting with suppliers, raise & expedite purchase requisitions and deliveries to meet project schedules.
- Collaborate with and provide broader as needs administrative support across the wider Project teams.

Providing support to the Project by:

- General project administration, providing analysis, record keeping and transfer of information between company, client and other external stakeholders
- Preparation of high-quality correspondence, meeting packs, agendas and presentations for differing levels and functions of a multi-tiered alliance project
- Preparation of high-quality meeting packs including compilation and distribution of agenda and briefing papers, minute taking, and recording and follow up of actions, while maintaining discretion and confidentiality with sensitive material and information.
- Provide project governance support to ensure alignment with project and company requirements relating to travel, personnel onboarding, training and other Project reimbursable costs
- Collaborate internally and externally to enable streamlined processes which supports the effective flow of information between stakeholders.
- Consulting with and advising personnel and external customers on matters that concern them in a professional and effective manner.

Skills & Experience:

- Certificate III or Diploma in administration or office management desirable.
- Exceptional organizational skills and attention to detail.
- Demonstrated time management skills.
- Effective communication abilities to collaborate effectively with team members and stakeholders.
- Proficiency in administrative tasks and using software from the Microsoft Office suite.
- SAP experience highly desirable.
- Ideally, some construction or engineering sector experience.
- Resourceful, resilient, discreet, and professional.
