**The role and what we're looking for**
The Executive Assistant (CEO Automotive) is responsible for the provision of business support to the CEO Automotive. Critical to the success of the role is ensuring the smooth communication of information and diary management, with the operational day to day management of an executive office being to the highest level of effectiveness, efficiency and professionalism.
**Key responsibilities of the role include**:
- Manage the Executive's diary, ensuring all meetings, appointments and travel are scheduled and communicated to the Executive ahead of time.
- Prepare the Executive for all internal and external meetings
- Assist with internal and external presentations and reports including Board and quarterly updates as well as external Suppliers via PowerPoint and MS office suite.
- Manage the Executive's workload, act as the gatekeeper and follow up meetings, external contacts, and team managers.
- Use appropriate discretion in the absence of the Executive to refer urgent matters to the appropriate team manager and inform the Executive of important developments.
- Administer and follow-up on the completion of strategic initiatives and 90 days plans.
- Collate and write articles for Monthly Talking points communication.
- Monitor tasks delegated by the Executive to team managers and external contractors to ensure all actions are on track for achievement and all reports are produced on time.
- Administer STI Frameworks
- Provide support to the Executive in relation to the preparation for Board, ELT, Project Governance, Committee, Forum and Corporate Project meetings, quarterly zone meetings and annual sales meetings.
- Manage credit card reconciliation and expense processes.
- Coordinate the Annual Strategy Day.
- Experience in providing confidential, complex administrative and secretarial support at an executive level requiring a professional approach.
- Strong attention to detail, excellent written and verbal communication skills.
- Excellent understanding of Office Suite, with particular focus on Outlook.
- Proven success in booking large events including venue, accommodation and flight bookings.
- Flexible, dynamic and independent work ethic to manage a constantly changing environment and schedule.
- Experience supporting an executive with a sales team in a busy environment (desirable).
