The Program Scheduler will play a key role in ensuring the effective coordination and scheduling of multiple complex projects within the program. This includes developing and maintaining a standardised scheduling framework for projects, supporting Project Managers and Project Officers in maintaining their individual project schedules, and creating and maintaining the integrated program schedule. The Program Scheduler will identify interdependencies, proactively manage potential capacity constraints and resourcing conflicts, and facilitate regular schedule review meetings. Additionally, they will provide detailed scheduling information to support project planning and decision-making, ensure alignment with project budgets and timelines, and maintain open communication with all stakeholders to keep them informed about schedule statuses and changes.
In this role you will:
- Develop and maintain a centralised and coordinated view of resources (project workforce, centralised services, consultancy and other) required for individual projects, using a sound resource forecasting or planning methodology.
- Develop and update project and program schedules using scheduling software (Microsoft Project).
- Identify interdependencies across projects in the Program of work and future plan for resource requirements.
- Identify potential capacity constraints and resourcing conflicts that could lead to sub-optimal project outcomes where resources cannot meet the quality or timeliness required for successful delivery.
- Regularly track the progress of projects and proactively address any issues that could cause delays.
- Facilitate regular schedule review meetings with project managers and team members to review and adjust schedules as needed.
- Ensure that schedules are realistic and align with the financial and time constraints of the projects.
- Offer detailed scheduling information to assist in overall project planning and decision-making.
- Provide coaching and support to Project Managers and Project Officers on the development and maintenance of schedules.
- Adjust risk management strategies in response to any changes in the project schedules.
- Maintain open lines of communication with all stakeholders to keep them informed about schedule statuses and changes.

The essential requirements for this role are:
- Proven experience and results in scheduling and coordinating complex programs within a large and multifaceted public sector organisation.
- Experience working across multi-disciplinary teams with conflicting priorities.
- Demonstrated ability in the development and implementation of scheduling frameworks, strategies, and policies specific to programs.
- Experience in identifying, assessing, and managing scheduling risks, issues, dependencies, priorities, progress to milestones, and budget, and providing regular and accurate reporting to stakeholders.
- Knowledge, or ability to acquire knowledge, of legislation, regulations, and standards relevant to corrective services.
- High-level written communication skills, and demonstrated experience in developing complex schedules, reports, briefings, and submissions in a public sector context.
- Experience in engaging with internal and external stakeholders.
- Effective interpersonal skills to build and maintain strategic relationships with internal and external stakeholders, and influence others in the achievement of outcomes.
- Time management skills including the ability to set priorities, coordinate activities, and meet deadlines.
**Qualifications, professional registration, conditions, and other requirements**:
- Experience with scheduling software and tools (e.g., Microsoft Project) is essential.
- PRINCE2, MSP, or other relevant Project Management certification would be highly regarded.
- Formal qualifications in business, public policy, management, or a related discipline would be highly regarded.
