The Commons is seeking an experienced Operations Manager to join our growing team. As the Operations Manager, you will play a crucial role in streamlining our business processes, driving operational processes that support a world class member experience, and ensuring smooth operations of our facilities and buildings. You will manage the Facilities and Technical teams, providing direction, guidance and support, which will be crucial as the business grows and scales.
You will work closely with all business departments to optimise operational efficiency, enhance the member experience, and maintain a high level of quality throughout our spaces.
**Business Processes**
- Identify and analyse existing business processes, identifying areas for improvement and streamlining workflows to increase efficiency.
- Develop and implement standardised procedures, guidelines, and best practices to optimise operational efficiency across all departments.
- Conduct regular audits and performance evaluations to assess the effectiveness of implemented processes and make necessary adjustments.
**Member Experience**
- Stay abreast of member experience industry trends and implement new processes to ensure The Commons is offering world class service.
- Constantly review the Member Lifecycle and make operational improvements which will support a seamless member experience.
- Define and clearly document new processes which support new products as they are implemented.
- Drive the adoption of technology solutions among staff and members, ensuring seamless integration and user-friendly experiences.
**Facilities and Building Maintenance**
- Oversee the maintenance and upkeep of all coworking spaces, ensuring they are clean, safe, and fully functional at all times.
- Develop and implement preventive maintenance programs, schedules, and protocols for all building systems, including HVAC, plumbing, electrical, and security systems.
- Coordinate with external vendors, contractors, and service providers to ensure timely and cost-effective repairs and maintenance.
**Vendor Management**
- Assist the Executive and finance teams to source and manage vendor relationships, negotiating favourable contracts and service agreements.
- Evaluate vendor performance and conduct regular vendor audits to ensure compliance with service level agreements and quality standards.
- Address any issues or disputes with vendors, ensuring prompt resolution and minimising impact on operations.
**Team Leadership and Collaboration**
- Provide effective leadership to the operations team, fostering a positive work environment, and promoting a culture of excellence and accountability.
- Collaborate closely with cross-functional teams, including Community Managers, Finance, HR, Sales and Marketing, to align operations with business objectives and support overall company growth.
- Conduct regular team meetings, performance evaluations, and professional development activities to enhance team skills and capabilities.
**Requirements**:
- Bachelor's degree in Business Administration, Operations Management, or a related field is a plus.
- 2+ years of proven experience in operations management, preferably in the coworking, real estate, or hospitality industry.
- Strong analytical and problem-solving skills, with the ability to identify inefficiencies and implement effective solutions.
- Excellent project management abilities, with a track record of successfully managing multiple projects simultaneously.
- Familiarity with technology and software systems used in coworking spaces, such as Salesforce CRM, facility management software, access control systems, and member management platforms.
- Exceptional leadership and interpersonal skills, with the ability to collaborate effectively across various departments and levels of the organisation.
- Excellent communication skills, both written and verbal, with the ability to articulate complex ideas and concepts in a clear and concise manner.
- Demonstrated ability to work in a fast-paced, dynamic environment, adapting quickly to changing priorities and maintaining a high level of professionalism.
