Event Admin Coordinator

Fairfield Park Boathouse and tea gardens is searching for an event coordinator to join this family run business. We are famous for our Devonshire teas, hiring traditional English boats, and a stunning riverside location where people can gather and enjoy our friendly and relaxed atmosphere just 10 minutes from the CBD. Being such a unique venue in an idyllic location, we cater for large and small events, breakfasts, lunches, dinners, cocktails parties, weddings, meetings. We have space for events from 10 people up to 400 people.

The role will be part time with potential to move to full time in the future.

**This is a diverse and engaging role, which will include;**
- Meeting and booking appointments for clients from time to time to discuss client’s event.
- Process and track event payments, ensure all client requests and event details are noted in the event orders, ensure all client communications are managed and details kept up to date within the shared drive.
- Ensure all clients requirements for menus, guest numbers, timings, suppliers, floor plans etc all organised and kept up to date.
- Operations & Kitchen: Prompt updates and communicate any changes to the event order with the chef and function manager. Brief them for the upcoming events.
- Experienced and able to handle enquiries about events including birthday parties, weddings, corporate functions, including organization, preparation, delivery & post event care.
- Handling restaurant and event enquiries
- Working directly with clients and ensuring that they have a wonderful experience from coordinating, execution of event to post event care.
- Assisting with the hiring, training, engagement & management of the events team

Controlling operational and wage costs of events

**Who we are looking for will**:
Love creating an amazing function experience for our clients - you are super organised and love planning.
- You must have an outstanding communication and negotiation skills.
- You have a strong written skill as well with great attention to detail and follow up skills.
- You have a “can do” attitude and flexible.
- You must have an experience with event sales within a hospitality or venue environment is required.
- You must be able to work independently and collaboratively with or without any supervision and meet deadlines.

Have loads of initiative and can solve problems under pressure and you will be able to draw on experience working in a function or catering environment and feel comfortable jumping in and helping where needed across the business.
