**About the role**:
You’ll be supporting Program and Project Managers and contribute to a body of ongoing transformation work in the Business Systems, Retail team. This includes resourcing, budgeting, maintaining project documentation, reporting and other ad-hoc tasks that may be required.

Beyond project Administration, you’ll have the opportunity to drive projects forward phase to phase, chasing deliverables and managing the action log. Ideally you are comfortable being a proactive communicator and can articulate both the day-to-day details and the big picture.

This role would suit someone looking to move into a Project Management role down the line - as a part of your growth in the role of coordinator, you will receive a lot of development support with the aim to have you managing small projects once you are settled into the role.

**Key Deliverables**:

- Coordinate Program and project management activities including:

- Resource planning
- Forecasting & budgeting
- Managing project schedules
- Assist with creation/maintenance of Project documentation in line with Ampol’s project management methodology
- Maintain project information in Caltex’s project tool
- Project Reporting
- Assist Project/program managers with day-today activities including scheduling meetings, recording decision and action items
- Undertake administrative tasks including:

- Assist in hiring and on boarding new team members
- Ordering resources e.g. equipment, etc.
- Track expenses and costs
- Manage timesheets
- Liaise with program/project managers, other team members and vendors to determine progress of deliverables. Identify issues and escalate as necessary
- Manage financial administration of Project / Programs utilising ERP systems such as SAP to raise POs, Good Receipt, and extract reports
- Solid organizational skills, including multitasking and time management to ensure project deadlines are met

**Qualifications/Experience**:

- Proven work experience and track record as a Project Coordinator or similar role
- Experience in supporting end-to-end Project management
- Knowledge of project management software e.g. Microsoft project
- Proactive nature to ensure constant awareness and knowledge of changes in operation throughout the Ampol business
- Confident with complexity, contradiction, and change
- Well-developed organisational skills and the capacity to be flexible in balancing priorities to meet/exceed customer needs.
- Excellent stakeholder and relationship management skills
- Excellent communication skills. Ability to engage and influence change.
