**About the Role**
You will be charged with providing direct support to the Managing Director (MD), providing day-to-day assistance with a number of higher-level support tasks, including but not limited to handling sensitive information, relationships, and other special projects.
This is a varied and interesting role where you will be involved in multiple facets of the business. If you are a passionate Personal / Executive Assistant who knows how to go above and beyond to ensure the smooth running of a key executive’s life, then this could be the role for you
**Responsibilities of the role include**:
- Attendance on front desk responsible for greeting visitors and to resolve requests that come through reception;
- Evaluate and prioritise meeting requests, priorities and commitments allowing for travel time, time zone differences and other constraints;
- Provide support to associated individuals as requested;
- Oversight for all meetings which may include preparation of material, attendee lists, agendas, and action items. Taking minutes and actioning follow ups may at times be required;
- Provide administrative support, such as managing boardroom calendar and preparation of correspondence, presentations, marketing material and reports for various stakeholders;
- Coordinate workshops and Board meetings;
- Work closely with the main stakeholders of the business to support the delivery of strategic objectives;
- Assist as required with varied projects across the business;
- Collaborate with the broader Wyllie Group team to plan and deliver initiatives;
- Collaborate and develop strong relationships with Board and Executive Team to ensure seamless support for all Executives;
- Provide personal assistance to the MD - personal errands, drop offs and pick ups, liaise with domestic staff.
- Provide general office administration support - reception, distribution of mail, stationery orders, photocopying, binding, coordination of office functions. Includes full responsibility for ensuring premises are well-presented and that supply stocks are appropriately maintained at all times;
- Provide general office management - perform inductions, coordinate office and equipment maintenance, maintain company OHS systems;
- Assistance with company secretary filings and payments_;_
- Assistance with accounts function - credit card reconciliations, invoice tracking, data entry;
- Assistance with event planning and functions when required; and
- Ensure record management processes developed and maintained, ensuring that information is accurate, up-to
- date and stored safely.
**What we are looking for**:
Key skills and experience desired include, but are not limited to;
- Experience as a Personal / Executive Assistant;
- Highly motivated individual willing to hold themselves accountable for set responsibilities, with sound judgement and a high level of integrity;
- Demonstrated experience in complex diary management, accounting for multiple time zones as well as booking travel on a national and international scale;
- Excellent written and verbal communication skills and the ability to draft and send correspondence on the behalf of the MD;
- Dedicated to work with exceptional organisational skills, and the ability to follow through on all matters;
- Ability to work autonomously, be proactive, and think outside the box when faced with issues;
- Experience in preparing, reviewing, and formatting board papers, marketing materials, presentations and other reports is preferred;
- Experience in minute taking and secretarial duties preferred;
- Ability to work outside of standard office hours when required;
- Ability to remain calm under pressure;
- High emotional intelligence, values confidentiality and is honest and loyal by nature; and
- Willingness to take on new roles and further develop professional skillset when opportunities arise.
