**Job Description**:
- About the role
- To ensure a seamless and efficient front-of-house experience for Brookfield, creating a favorable initial impression for clients, management, and employees.
- Hours:
- Monday to Friday - 8:00am to 4.00pm
- _or_ 9.00am to 5.00pm. 5 days per week.
- Responsibilities are:
- Collaborate with staff and management to efficiently schedule and manage bookings for 13 front-of-house meeting rooms according to business requirements.
- Assign appropriate technology-equipped rooms for meetings, presentations, and events.
- Handle incoming calls with a professional demeanor, effectively screening and directing them as necessary.
- Assist in managing mail and courier services, including occasional booking of couriers.
- Ensure accurate and timely processing of invoices through the Coupa accounts system, using correct GL Account codes.
- Create and maintain staff passes, while accurately recording visitor pass information.
- Maintain effective communication with building management through the tenant portal system.
- Provide support during busy periods to the catering team, which may involve taking beverage orders, assisting with tea/coffee preparation, and room clearing.
- Familiarity with booking processes for on-site auditors, along with knowledge of security and duress procedures.
- About you
- High School Certificate or equivalent.
- Certificate IV in Customer Service / Administration or equivalent experience.
- Training or knowledge in current OH&S and relevant legislation would be an advantage.
- Previous corporate reception experience essential.
- Well presented.
- Strong communication skills.
- Welcoming presence to greet and farewell guests.
- Professional telephone manner - listening, questioning with an ability to follow through and follow-up if required.
- Ability to interpret queries and assist customers appropriately.
- Demonstrated attention to detail.
- Proficient in relevant computer software Word, Outlook (or related programmes) Microsoft Teams, WebEx, Internet access; Audio Visual equipment in front of house meeting rooms.
- Demonstrated understanding of customer service principles.
- Barista skills would be an advantage but not essential.
