**The Role**
The Events Coordination Officer is a key support role for the Marketing and Communications Team. The primary purpose of the role will be the coordinating the delivery of corporate and internal events (including openings, expos, blessings, conferences, client workshops and sessions). The corporate events are an important way of engaging internal and external stakeholders and therefore the purpose of these events include increased awareness of services and programs, and improved relationships.
Reporting to the Traffic & Production Manager, the Events Coordination Officer will be the key person coordinating and overseeing the aspects of all corporate events and marketing activities.
Some of the duties of the role will include...
- Establish and maintain annual calendars of key dates and events.
- Develop, review, and implement various tools, templates, and processes such as events checklist; events income/expenditure budget template.
- Work with internal stakeholders to streamline a corporate events program into a manageable calendar; which is balanced with the time required to perform database related tasks.
- Work with key industry partners to ensure development of events that will have direct impact on building awareness and stakeholder engagement.
- Assist in implementing a strategic approach to partnership and sponsorship arrangements, seeking to increase corporate contributions to major events.
- Assist in coordinate and delivering event management, including planning, budgeting.
- Manage operational relationships with suppliers including equipment hire companies, sound specialists, security, and other vendors.
**About You**
We are looking for a new team member who can bring a collaborative approach to working with and engaging internal and external stakeholders, you will have a strong client focus and a high level of organisation and attention to detail. As well as this you will ideally bring:
- Excellent written and verbal communication skills.
- An understanding of the events industry, including technical and logistic processes and contacts.
- Excellent knowledge of Microsoft Office suite, workflow software and administration functions.
- Strong budgeting ability to ensure projects stay on target and within cost parameters.
- Experience briefing external agencies and suppliers.
- Demonstrated ability to work on new ideas and to think creatively.
