Atelier Ten, a global sustainable design consultancy, seeks an Office Coordinator with 2+ years’ experience to support our Melbourne team.

From our offices in Sydney and Melbourne, we have been the sustainability designers for significant buildings and places that include the Sydney Modern Project at the Art Gallery of NSW and the Bays West Place Strategy, both in Sydney; Southbank by Beulah in Melbourne; Kambri Court precinct at ANU; and the WA Museum Booda Barlip in Perth. We collaborate regularly with our colleagues in Singapore, London, New York, and San Francisco on places like Gardens by the Bay in Singapore, the SFMoMA, and the Obama Presidential Library.

About the role
Atelier Ten Australia is led by a team of talented, thought-leading, experienced sustainable designers. We are fully focused on shaping a more sustainable future for our clients. What we are missing in our Melbourne office is a peer who is fully focused on co-ordinating our workplace to be welcoming, productive, and supportive, and helping key A10 leadership deliver non consulting aspects of their work. You will fill this role.

**Responsibilities**:
Office Operations:

- Support with day-to-day office operations and ensure efficient functioning of the Melbourne office
- Maintain office supplies inventory, anticipate needs, and place orders as necessary
- Coordinate with vendors and service providers for facility maintenance and repairs

Administrative & Bids Support:

- Provide administrative support to Melbourne based executives and staff, including managing executive correspondence, scheduling meetings, and making travel arrangements
- Bid support for Melbourne office, including preparation of documents, maintaining the Reference Project List up to date, presentations and liaison with technical team to ensure professional bids are sent on time
- Maintain organized filing systems, both electronic and physical
- Onboarding new Melbourne based colleagues

Facilities and Equipment Management:

- Assist with maintenance and upkeep of office equipment, ensuring proper functioning
- Liaise with IT support for troubleshooting technical issues and coordinating repairs, upgrades and new Melbourne staff computer equipment
- Manage relationships with office service providers

Event and Meeting Coordination:

- Coordinate and schedule meetings, including room setup, catering, and audiovisual requirements
- Prepare meeting agendas, take minutes, and distribute relevant documentation
- Organise Melbourne office events and celebrations, fostering a positive and inclusive office culture

Financial Administration:

- Assist the team in maintaining records of Melbourne office expenditures

Ideally we’d like to see this role grow into an Office Manager role taking on some bookkeeping duties in Xero, and other responsibilities
