An exciting opportunity for an experienced Executive Assistant to work for a State Government Department.
**Your new company**
This State Government Department is the central financing authority, captive insurer and manager of the passenger and light commercial fleet operations for the Government of South Australia. This Department plays an integral role in the overall management of the State’s finances and risks, harnessing economies of scale and relevant expertise to provide a range of financing, insurance and vehicle fleet management services.
**Your new role**
As an Executive Assistant, you will provide high-level administrative and executive support to the Chief Executive Officer (CEO), ensuring the efficient and effective operation of the CEO’s office. You will also assist the Leadership Team and liaise with internal and external stakeholders on behalf of the CEO.
**You will be responsible for and includes duties not limited to**:
- Ensure the effective utilisation of the CEO’s time by managing their diary and inbox effectively and accurately, proactively making adjustments and coordinating with stakeholders to ensure a high standard of service delivery on behalf of the CEO at all times.
- Ensuring the CEO is briefed for meetings through the identification, sourcing and preparation of documentation and information required.
- Contribute to identifying, monitoring and attending to urgent enquiries on behalf of the CEO (as appropriate) ensuring resolution and quality control of responses ensuring conformity to Government policies and standards.
- Maintain awareness of emerging issues requiring the Chief Executive Officer’s attention and use judgement to deal with appropriately.
- Ensure the CEO is prepared for all meetings, including undertaking logístical arrangements, as well as identifying, sourcing and preparing documentation, briefing notes, presentations and other information as required.
- Undertake research, collate and analyse data, prepare drafts of speeches and papers for the CEO, draft briefings, correspondence and report to final standard, ensuring consistency of the corporate style guidelines across all mediums.
- Manage travel bookings and itineraries on behalf of the CEO.
**What you’ll need to succeed**
To be successful in this role, you will need:
- Demonstrated experience in providing high-level administrative and executive support to senior executives in a complex and dynamic environment.
- Excellent organisational, time management and prioritisation skills, with the ability to work under pressure, meet deadlines and manage competing demands.
- High-level communication and interpersonal skills, with the ability to communicate effectively and professionally with a diverse range of stakeholders, both verbally and in writing.
- High-level of initiative, problem-solving and analytical skills, with the ability to exercise sound judgement and discretion in handling sensitive and confidential matters.
- A positive, proactive and flexible attitude, with the ability to work independently and as part of a team.
