**About the Stream, Group or Branch**:
The Community Grants Hub (the Hub) works in partnership with government departments and funded organisations, to embed the department's mission to improve the wellbeing of individuals and families in Australian communities. The Hub achieves this through effective grants administration across the grant lifecycle.
We are committed to:
- working in partnership with our client agencies to design robust, appropriate and proportionate grants opportunities
- administration of grants in line with Whole of Australian Government grant polices
- delivery of payments, policies, programs and services.
The Grants Services Office (GSO) is the front door to client agencies and is responsible for working with policy areas to assist in the design and implementation of grant opportunities and produces grant round specific documentation. The GSO works closely with the other areas of the Hub to ensure grants administration is consistent, streamlined and presents value for money for the client. There are various positions available across the GSO located in the Canberra office.
**Position Description**:
As an APS 5 in the Grants Services Office, you will provide a range of administrative duties and support to a range of stakeholders of the Community Grants Hub.
Key responsibilities include but are not limited to:
- work collaboratively across the Branch, the department and with Commonwealth agencies throughout the Design, Select, Establish and Manage phases of the grants lifecycle
- actively listen and engage with team members, stakeholders and clients to build and maintain positive relationships
- knowledge of, or the ability to acquire an understanding of, the grants phased lifecycle and the Commonwealth Grants Rules and Guidelines 2017
- liaise and negotiate with stakeholders to draft grant artefacts, such as Commonwealth Grant Agreement documentation
- draft and provide quality assurance of grant documentation in line with Standard Operating Procedures (SOPs), accessibility standards and in plain English
- identify issues and proactively negotiate solutions
- undertake general administration, including filing documents in the departmental electronic filing system, and support mailbox workload management and preparing correspondence for stakeholders.
- ability to work collaboratively with a team as well as good interpersonal, analytical and problem-solving skills, including excellent attention to detail
- strong communication skills, with some experience in working with a diverse range of audiences including the ability to research and relay information
- well-developed time-management skills with the ability to manage priorities and deadlines in a fast-paced environment
- be an effective user of Microsoft Office suite, SharePoint websites, the Grants Payment System (GPS) and Qlik reporting
- a demonstrated understanding of grants administration and/or service delivery
- demonstrated commitment to achieving high quality outcomes
- a principle-based approach and adhere to the APS Values and Code of Conduct
- ability to act professionally within the boundaries of the department and operate as an effective representative of the department in all forums.
**Eligibility / Additional Requirements**:
Applicants must be proficient with Microsoft Office, in particular Outlook, Excel and Word.
This recruitment process is being used to fill current and future ongoing and non-ongoing vacancies. A merit pool of suitable applicants will be created which may be used to fill future vacancies should they become available over the next 18 months.
Non-ongoing vacancies will be offered for a period of up to 18 months with the possibility of extension (up to a total period of 3 years). Some of these non-ongoing vacancies may become ongoing in the next 18 months.
Should a position become ongoing then the merit pool established through this selection process may be used to fill the vacancy on an ongoing basis.To be eligible for employment with Department of Social Services (the department), you must be an Australian citizen. An applicant's suitability for employment with the Department will be assessed through a pre-employment screening process. This will include an identity and criminal history background check.
**Eligibility to obtain an Australian Government Security Clearance**:
The suitable applicant must also obtain and maintain a security clearance conducted by the Australian Government Security Vetting Agency (AGSVA).
Applicants also must be able to establish their background as checkable to be considered eligible for a security clearance. Any gaps or periods of time spent overseas for 12 or more months (cumulative) that cannot be verified by an Australian referee is deemed uncheckable, rendering the applicant ineligible for a security clearance.
