Our client is a boutique accounting firm providing comprehensive small to mid-tier accounting services and consulting. They are a professional new-age accounting firm with a collaborative team environment. An aspect that defines them are that they facilitate employee growth and development and provides opportunities for team members at all levels to interface directly with clients.

**The role**:
The Client Services Representative is the first point of contact for our organisation. The primary function of the role is to greet visitors and deliver exceptional client service. The role entails to co-ordinate all front house activities, including assisting the clients by being pro-active in meeting their requests and using initiative to follow up on their behalf.

The role is broad and hands-on with the opportunity to make it your own.

**Responsibilities & Duties**:

- First point of contact for our clients
- Answering, assisting and redirecting phone calls and taking messages promptly
- Fostering client relationships with the support of our team
- Diary management
- Setting up of new clients & maintenance of databases
- Processing ATO correspondence including, Notice of Assessments and lodgment of tax returns
- Provide client support services in an accurate and timely fashion
- Assisting with ATO Payment Plans
- Managing secured signing through Adobe Sign
- Monitoring of ASIC deadlines
- General administration duties, including collating, scanning, printing and filing
- Client Onboarding & Offboarding
- Sorting and distributing incoming mail
- Completing Fee From Refund
- Processing client payments
- Managing the firm’s electronic marketing through our KnowledgeShop membership
- Assisting with implementation of practice platforms and databases integration
- Providing administrative support to the accountants
- Maintaining policies and procedures
- Ordering office stationery and kitchen supplies
- Attending educational trainings and workshops for professional growth
- Genuine interest in developing career and longevity with the firm
- Other general administration duties as required

**About you**:

- At least three years’ experience in a client service role
- Tech savvy and able to adapt to new systems
- Be motivated by exceeding client expectation through effective administration, process

development and management
- Ability to handle multiple deadlines and prioritise appropriately
- Strong verbal and written communication skills
- Enthusiasm, a positive outlook and willingness to work as part of a team
- Ability to learn quickly
- Excellent attention to detail
- Familiarity with ATO portal and general ATO correspondence
- Ability to work independently as well as part of a team
- Possess efficient task and time management skills
- Ability to treat confidential information with appropriate discretion
- Proficient in Microsoft Suite
- Knowledge with Xero Practice Manager (XPM) and Xero
