Position

The Administration Assistant is expected to support the College community (Principal, staff, students and parents) in the continued promotion of the philosophy of the College which is founded on the Mission Statement. All employees are expected to respect the confidentiality of the individual, and to treat all members of the College community with courtesy.

Appointment
- The Administration Assistant is appointed by the Principal and reports directly to the Office Manager.
- The position will attract a salary as determined through discussion on appointment and will be reviewed by the Principal.
- This position is responsible for the provision of administrative support as required to the staff in key areas as outlined below. This position requires personal and professional discretion, a sense of utmost confidentiality, loyalty and tact.

Key Duties
- Perform the duties of receptionist at the student services counter, including taking messages, transferring calls, managing the waiting area.
- Be responsible for updating TASS for absentees, late arrivals and early
- Confirm that rolls are marked across the College
- Be responsible for management of the sick bay and administering first aid to students, including ordering first aid supplies and management of first aid kits across the College
- Be responsible for updating illness/sick bay visits/first aid provided and other information in TASS, including annual review of medical details
- Prepare the ‘serious’ Medical alert booklet each year
- Liaise with the relevant authorities with regard to immunisations. Co-ordinate the immunisation programme within the College
- Provide secretarial support to the Outdoor Education Program Coordinator (production of letters and handbooks, medical forms, facilitate staff briefings/debriefings, transport bookings, future camp bookings)
- Provide administration support to the Chess Club coordinator, including student enrolments, payment and the annual Chess Tournament
- Collect and receipt assessment items at Student Reception (pass on to PA to Head of sub schools for collation and follow up) Coordinate and administer College photographs (staff, individual, class and co-curricular)
- Coordinate the production of Staff and Student ID cards
- Issue tuckshop vouchers to students and follow up the collection of debts
- Other duties which the Principal and Office Manager may delegate from time to time.
- Provide assistance to leaders of educational tours and camps ie Canberra, NZ, including correspondence, liaising with the tour company, payments, handbooks, medical forms.
- Support Front Receptionist with answering incoming telephone
- Support communication to parents using the College App and Parent Lounge calendar.
- Provide assistance/support as required/directed by the PA to the Principal/Office Manager and the College Leadership Team.
- Attending relevant meetings as required, such as the Principal’s Meeting and Staff Briefings.
- Supporting the college administration team, providing back up assistance with front reception and general office duties, such as photocopying, student mail and so forth along with any other task required under the direction of the office manager.

EDUCATION and/or EXPERIENCE
- Tertiary qualification in Business Administration desirable

**CERTIFICATES, LICENSES, REGISTRATIONS**
- Working with Children Suitability Card or ability to obtain is essential.
- First Aid Certificate is
- Current driver’s licence

WORK ENVIRONMENT, CONDITIONS AND SALARY
- You will have an individual computer in a shared workspace.
- The role necessitates a physically capable capacity.
- This is a part-time term time position, School Officer Level 3 as per the Moreton Bay Boys’ College Enterprise Agreement.
- Sick Leave entitlement of pro-rata 10 days
- Long Service Leave entitlement of pro-rata 1.3 weeks for each year of service, which can be taken
