**About the role**:
The Facilities Coordinator is responsible for supporting the Financial Controller as necessary to achieve the Hostplus’ objectives, including managing the office premises leases, facilities requirements and assisting the Executive Manager, Finance with other business services related operational activities and projects, as required.
**Facilities and Office Management**
- Responsible for the maintenance of commercial lease agreements, nationally
- Maintenance of commercial office lease schedules
- Review of commercial lease and facility related invoices to ensure accuracy and timely payment
- Maintain relationships and liaising with all leased property agents and facility suppliers across Australia
- Coordinate the provision of timely maintenance for the building assets ensuring planning and coordination of regular maintenance, refurbishment and management of facility requirements
- Ensure the building facilities and equipment is kept in good repair and working order, to ensure staff are provided with a comfortable and safe work environment
- Manage all cleaning contractors across all office locations, as required
- In conjunction with the Risk team, ensure appropriate insurance coverage, as per lease agreements
- Coordinate the bank guarantee requirements of the office leases
- Maintenance of fixed assets
- Support the Executive Manager, Technology with IT facilities related requirements
- Support the People, Performance and Culture team by actioning facility repairs and maintenance in a timely manner
**Sub-leasing**
- Management and follow up of tenant leasing queries
- Preparation and management of office leasing invoices for sub-leased offices
- Management of agents that are sub-leasing on behalf of the business
- Ensure excess space is sub-leased in a timely manner and at market competitive rates
**Projects**
- Identify suitable premises based on the business requirements, including negotiating the lease agreement
- Management of office fit-outs and/or refurbishments
- Termination of lease agreements and ensuring make-good requirements are appropriately fulfilled or settled
- Management of relocation activities to facilitate the seamless movement of employees between offices
**About you**:
- A minimum of 3 years prior experience in a corporate environment
- Proven experience in the co-ordination of facilities management
- Proven ability to establish and maintain strong and productive working relationships
- Good project management experience
- Good experience in managing external vendors and contractors
- An understanding of the philosophy of industry funds
- Strong verbal and written communication skills
- Strong project management skills
- Excellent organisational skills, with the ability to work both autonomously and as part of a team
