**About the Role**
The Executive Administrative Officer will provide a broad range of administrative, secretarial and executive support services to the Head of School, ensuring the smooth workflow of the office and enabling the School to function effectively across a wide range of commitments. The Executive Administrative Officer is a required to display a level of discretion, independent judgment and professionalism, with regular interaction with internal and external stakeholders as well as dealing with confidential and sensitive issues and documentation.

Reporting to the School Operations Manager, the Executive Administrative Officer works as part of the professional services team that also provides high quality administrative services to the academic team within the School.

Responsibilities include:

- Ensuring efficient running of the day-to-day activities for the Head of School including, but not limited to, diary management, travel coordination and transactional finance support in line with University policies and procedures
- Coordinating and administering the annual and triennial School Performance Development Review (TPR or APR) process, confirmation and promotion rounds, monitoring progress of supervisors and reporting regularly to the Head, with a view to complying with University requirements and timelines
- Being the first point of contact in the office of the Head of School ensuring that all enquiries from staff, students and visitors are dealt with in a professional and timely manner, including answering basic queries, providing accurate information, supporting the shared inbox, and referring more complex matters as appropriate
- Processing School related administration including the coordination of consumables orders and deliveries and mail management

**About You**
You will love working as part of a team, being involved in multiple tasks at the one time, be self motivated and eager to learn. You will also display a strong customer centricity in everything you do, a positive can-do attitude and a high level of accuracy and attention to detail. Knowledge of financial and administrative systems, particularly in a university environment is desirable but not essential. Strong written and verbal communication skills will be beneficial.

You will also have:

- A tertiary qualification or an equivalent combination of relevant experience and/or education/training
- Excellent interpersonal and communication skills and ability to deal with a range of people internal and external to the University, and the ability to work with people from diverse cultural backgrounds
- Exceptional organisational and time management skills, including demonstrated ability to prioritise tasks effectively
- Demonstrated self-motivation and flexibility in responding to changing work priorities, with the capacity to work independently and as a member of a team
