**Application Procedure**:

- empathy toward children and families.
**Reception Duties**
- Welcome visitors in a warm and professional manner and attend to their needs.
- Answer inward calls and make outward calls in a friendly, efficient manner making it clear to the other party your needs or intentions.
- Collect, open, and sort inward mail, distribute to appropriate persons.
- Actively supervise the First Aid Room.
- Manage Medication Sheets and administer medications to students
- Monitor attendance data.
- Complete online grocery orders for staff and cleaners.
- Assist with Open Days and School Tours.
**Office Duties**
- Type any letters, returns and other documents, as requested.
- Create and maintain data bases relevant to the school’s needs.
- Prepare and deliver reports as required.
- Be familiar with GAFE and Microsoft suite.
- Maintain Google Calendar.
- Provide administrative support to Parents Friends Association, School Advisory Council and various committees associated with the school, where appropriate.
- Manage and monitor external hiring of facilities.
- Collate items for fortnightly Newsletter.
- Communicate with secondary feeder schools and families to ensure all Year 6 students have a place for Year 7.
- Communicate important events to parents via Compass.
- Set up School interviews and special meetings and distribute them to parents and staff.
**Maintenance of Records**
- File all relevant documents. Keep an orderly filing system enabling others to understand it.
- Retrieve documents as necessary.
- Maintain accurate and up to date student files.
- Ensure staff records are kept up to date and filed,
- Foster effective relationships with students, staff, parents and St. Kevin's Parish.
- Show commitment to the Ministerial Order No.1359 and the Victorian Child Safe Standards.
- Demonstrate an understanding of and commitment to the VRQA Child Safe standards.
**Resources**
- Provide guidance in the use of information services.
- Review, evaluate and modify services and systems against measure of responsiveness to students and staff needs.
- Undertake systems design, program design and specification and direct programming changes necessary to enhance, modify or maintain a computer system.
- Assist in the duties in relation to OH & S.
**Liaison**
- School Advisory Council - Prepare appropriate reports for meetings. Report to SAC on financial situation of school. Make recommendations to SAC concerning the provision of services.
- Committees - Liaise with various committees associated with the school.
- Staff - Liaise with fellow staff members concerning the provision of administration support and office procedures.
- Parents - liaise with parents to provide clarification or advice in relation to the administration unit.
- Liaise and affiliated schools/Government/Community Organisation - Liaise with MACS.
- Government departments and community organisations regarding policy, funding and budgetary matters.
**General Duties**
- Contribute to a healthy and safe work environment for yourself and others and comply with all safe work policies and procedures.
- Attend school fund raising function and after school services/assemblies, sporting events, mass, community and faith days as required by the Principal.
- Demonstrate professional and collegiate relationships with colleagues.
- Complete Yard duty or Office duty assigned by Deputy.
- Other duties as directed by the Principal.
**Child Safety**
- Be familiar with and comply with the school's child-safe policy and code of conduct, and any other policies or procedures relating to child safety.
- Assist in the provision of a child-safe environment for students.
- Demonstrate duty of care to students in relation to their physical and mental wellbeing.
