**The Role**

The overall purpose of the Executive Assistant is to provide effective high quality confidential secretarial and executive support services to the Chief Operating Officer, Aged & Community Services and the Chief Operating Officer, Children, Youth & Families (COOs).

The Executive Assistant will work in accordance with the values of Anglicare Southern Queensland (Anglicare) and support core business by providing service, guidance and advice within this position’s specialty area.

Some of the responsibilities of the role will include...
- Provide high quality and confidential administrative support services to the COOs including secretariat for meetings, preparing documents for appointments/meetings, and preparing urgent responses to internal and external requests.
- Prepare agendas and information for meetings and undertake minutes in a timely manner.
- Manage calendars, making and confirming any meetings and appointments and ensuring all the relevant information is prepared for meetings.
- Maintain effective time management practices for by prioritising appointments, correspondence, and telephone calls.
- Obtain and organise necessary documents required for discussion daily, for example reports, briefing notes and correspondence.
- Receive enquiries and correspondence for the COOs, initiate and follow up on appropriate action, liaising with relevant employees and external stakeholders.
- Communicate with other executive members, government departments, clients, suppliers, and other community organisations and the public on behalf of the COOs.
- Ensure that instructions/advice from the COOs are appropriately and accurately disseminated to other staff as requested.
- Organise relevant travel, accommodation, and business arrangements to maintain accurate itineraries and to meet deadlines.
- Monitor and quality check payments, credit card expenses, travel bookings and staff resources.

**Ideal Experience & Skillset**
- High level of experience providing executive and administrative support.
- Demonstrated interpersonal and negotiation skills, communication, and relationship management skills with a wide range of stakeholders.
- Proven ability to identify and resolve issues and challenges using an innovative approach.
- Capacity to make a positive contribution to work team performance.
- Excellent organisational and planning skills in managing competing priorities in a busy environment.
- Demonstrated ability to undertake research and professionally create documentation such as reports, briefing papers, general correspondence, and executive communications.
- High level of knowledge of Microsoft Office suite including Teams, SharePoint, Word, Excel, Outlook, PowerPoint
- Current National Police Check
- Current Covid-19 vaccinations
