**Role Overview**:
The Studio Coordinator oversees the provision of administrative, financial and operational support services for the studio. The role facilitates the delivery of business operations to agreed standards. This role plays a crucial part in managing all aspects of the studio’s resourcing, finance, and overall general administration, while supporting the company’s vision.
Overall, the Studio Coordinator is responsible for creating a thriving and creative work environment, ensuring the organisation of the studio which allows the design team to thrive deliver high-quality design solutions, and maintaining client satisfaction while overseeing the operational aspects and studio culture.
**Key Responsibilities**:
Your key responsibilities will include:
- Welcoming guests on arrival and delivering them to the respective area/person.
- Answering and direct calls/take messages as necessary.
- Monitoring group inboxes and oversee ordering of studio equipment and supplies.
- Managing studio schedules, appointments, and bookings to optimise productivity.
- Coordinating different departments to support and enhance studio efficiency.
- Ensuring the studio environment remains organised and conducive to creativity.
- Submitting timesheets to payroll for processing.
- Collaborating with the marketing team for branding purposes.
- Ensuring designers project workload is managed effectively.
- Allocating resourcing and schedule weekly briefing meetings with the team.
- Provide updates at all stages of projects referencing deliverable hours spent, profitability, project status updates to Directors and Associate Designers for new and existing projects.
- Create and manage fee proposals, ensuring they align with the industry market and allow for profitability.
- Tracking project hours through the relevant systems.
- Assisting in end of month invoicing.
- Assisting in following up on unpaid invoices.
- Completing end of month reporting.
- Producing invoicing forecasts to track performance against financial targets.
- Tracking project budgets.
**Essential Skills**:
- 2 years’ experience in similar role within administration and finance.
- Experience in MS Office and MS Excel.
- Technical capability relevant to studio operations.
- Punctuality and professional presentation.
- Effective listening and exceptional interpersonal skills.
- Collaborative team spirit and a desire to contribute positively to group endeavours.
**Desired Traits**:
- Experience at an interior design firm is preferred.
- Ability to negotiate effectively and manage difficult conversations.
- Basic understanding of end-to-end accounting processes.
- High attention to detail.
- High level of analytical and problem-solving skills.
- Great communication skills.
- Demonstrate skills in accounting programs.
