The Owners Corporation Manager will report directly to the Operations Manager, Strata Management.
**Responsibilities**:
- Convene Owners Corporation annual general, committee of management and special meetings within prescribed timeframes. Carry out all duties imposed and made in accordance with Regulations, rules or by-laws.
- Prepare annual budgets for Owners Corporations and instigate or review sinking funds for the long term maintenance of the property. Approve accounts for the Owners Corporation and review financial statements at all quarterly committee meetings.
- Issue notices of meetings for annual general and committee meetings, ensure minutes of meetings are sent to owners and actioned
- Liaise with owners, committee members and other agents in a professional manner to answer queries, respond to any requests, breaches of Owners Corporation rules or emergency situations that may arise. Ensure that appropriate procedures are in place to deal with any Owners Corporation issues in an efficient and timely manner.
- Review Owners Corporation Certificates per paired by the assistant for a managed Owners Corporation. Assist in advising solicitors of financial status of apartments at settlement date and confirm all arrears have been paid.
- Administer aspects of insurance including taking out, maintaining and paying premiums on insurance as required by any Act or Part 7 of the Owners Corporation Regulations. Arrange revaluations of properties when required by the relevant Act and process insurance claims for payment by the Insurer.
- Inspect the properties at regular intervals to ensure day to day and long term maintenance of the building and all common areas including fixtures and fittings are being maintained to a high standard and in compliance with Owners Corporation statutory requirements. As required ensure that all work is undertaken prior to payment.
- Supervision and monitoring of Caretakers / Concierge / Building Managers to ensure they carry out their duties to company standards and that they are employed under and comply with all terms of the Owners Corporation’s Service Agreement.
- Maintain contact with MICM Property staff and departments such as finance for budgets and statements, and building services for essential services and job orders. Ensure that clients are provided with a professional, cohesive and informative service.
- Provide support and assistance to any other MICM staff where required.
- Issue Notification of Breach of Owners Corporation rules in an efficient and timely manner (such as inspecting balconies as required).
- Maintain complete and accurate files and records on all Owners Corporation matters including rules, contracts register for properties, legal documentation
- Undertake other duties as required and ensure that all tasks are completed accurately and within a timely manner with a professional and ethical approach
Skill and Competencies
- Demonstrated experience in an Owners Corporation role including thorough knowledge of Owners Corporation statutory requirements
- Sound knowledge and understanding of the real estate industry
- Proven ability to participate in Owners Corporation Meetings
- Experience in handling budgets, financial details and interpreting figures.
- Excellent communication skills (verbal and written) including proven experience working as part of a team and liaising with a wide variety of people.
- Ability to develop lasting relationship with committees, contractors, staff and the leadership team.
- High level of accuracy and problem-solving ability
- Flexibility, time management skills and the ability to work with minimum supervision
- Digital competency
