**THE ROLE**
This role is a combined Executive Assistant and Administration Team Leader position.
The Executive Assistant provides high level support functions, including confidential administrative support to the Director, North East Melbourne Area. The position provides a pivotal point of contact for internal stakeholders regarding Area priorities and supports continuous improvement functions and transparency of internal processes across the Area. The position collaborates extensively across the Area and Division, to improve clients service, by reviewing and establishing client-focused protocols, systems and training. This position works with the area senior leadership team to ensure administration support meets the needs of the area.
The Administration Team Leader aspect of this role supervises a small team of administration officers to effectively manage office processes and maintain information systems, financial information, client payments and correspondence as required. Attention to detail and teamwork underpin success in this role as well as a demonstrated ability to communicate sensitively and effectively. The role provides wide ranging administrative, secretariat and support functions and provides guidance and supervision to others in the work area and related areas regarding administration tasks, processes and systems.
**ACCOUNTABILITIES INCLUDE**
- Provide a range of effective executive support functions, including: accurately managing the office's events diary; providing quality support to committees, working groups and meetings, including progress reports on outstanding matters; and preparing reports, briefs and correspondence.
- Arrange meetings and conferences, including coordinating papers, organising venues, agendas, taking minutes and follow-up actions and making travel and accommodation arrangements.
- Answer queries, provide timely advice, undertake follow up action as required.
