**About the position**

Your established practices and proven track record will stand you in good stead to provide high level operational, strategic, and administrative support to your developing leader.

With your high level of emotional intelligence, and proactive and flexible mindset, you understand the skill set and practices needed when supporting your leader remotely, in a different time zone.

As a skilled and patient communicator, you will provide guidance to your Director as to how you can best aid them in their role. Having never worked with an EA before, your leader will need time to optimise the benefits of having your effective and efficient support. To ensure a smooth transition, you understand that trust is earned through clear communication and an adaptable approach.

**Position responsibilities**
- supporting your leader in all day-to-day activities
- managing their calendar, proactively arranging meetings to optimise time management
- supporting meetings through preparing minutes, briefing notes, agendas, reporting and logistics
- coordinating inbound and outbound correspondence in a professional and timely manner, including preparation of daily briefs and responses as required
- coordinating all aspects of domestic and international travel arrangements for the leadership team
- liaising with the leadership team to collaborate on and monitor current projects and tasks
- proofreading and editing all documents prior to the leadership team signing
- supporting, driving and implementing projects
- managing organisational task register to ensure all tasks are delivered within the agreed timeframe
- working closely with the EA network to faciliate smooth communication channels, project facilitation, and task delivery
- assisting administrative staff with tasks as needed
- event management
- recognising process improvement opportunities, and implementing as needed to ensure best practices
- performing financial management processes such as raising purchase orders and purchasing as required

**Qualities you’ll need to succeed**
- ability to establish and maintain strong working relationships with external suppliers and internal colleagues with diverse backgrounds
- excellent administrative and organisational skills to manage own time and organise others in a friendly and professional manner
- proven track record in database management
- flexibility to work across time zones as needed with sufficient notice
- strong work ethic, with a positive, energetic and hands-on approach
- outstanding written and verbal communication skills
- mature, ethical, and respectful communication style
- resilience to cope with frequently changing demands, initiatives, and priorities
- team player with a flexible and self-motivated mindset
- customer-focused with a commitment to excellence in representing your leader
- superior capabilities in anticipating needs, decision-making and problem-solving

**Preferred skills and experience**
- minimum 5 years’ experience supporting C-suite executives or Director level executives
- a background in the professional consulting services or education space will be highly regarded
- advanced proficiency in Microsoft Office
- ability to assist with basic IT support needs
