What this job involves
The Assistant Facilities Manager will manage the day to day client activities for the assigned property/facility, and be the on-site key point of contact for key stakeholders and/or client. The role will assume overall responsibility for site budgets, accounting and finance, maintenance and operations, contract services, purchasing of material, equipment & supplies, occupancy services and helpdesk.
Major Responsibilities
May require travel to conduct facility inspections at client sites
Ability to provide a sensible view of the condition of assets in line with standards and the age of the asset
Able to work autonomously and efficiently without supervision
Must have current drivers licence
Plan and manage all contracts to ensure that they are professionally delivered at the right costs
Ensure expiry of contracts are well-monitored and re-procurement is initiated when required
Ensure contracts are continually assessed to deliver best value to the client
Facilities Operations
Manage & oversee site services as part of the scope delivered.
Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)
Assist in the procurement of vendors and services as required
Conduct regular audits to ensure safety procedures are being complied with
Assist in carrying out safety procedures when needed
Human Experience
Deliver the account’s Human Experience Roadmap at the site and ensure the delivery of all operational requirements to uplift workplace experience, community engagement and sense of wellness and well-being at the site.
Client Engagement
Create a fun and impactful client engagement strategy.
Engage with all guests, employees, and key stakeholders.
Communication
Provide superior customer service to meet on-site client’s expectations
Lead the development and implementation of all internal communication strategies in collaboration with client’s leadership with a focus on improving culture and employee engagement.
Team player, motivational leader, work across business unit to establish a collaborative environment.
Actively work to ensure that the sites financial operations are meeting or exceeding targets and control requirements including JLL Code of Ethics
Ensure financial processes are followed at all times
