**Job Title**: Personal Assistant to the Managing Director
**Overview**:
**Responsibilities**:
- **Executive Support**:
- Provide comprehensive administrative support to the Managing Director, including managing schedules, arranging meetings, and handling correspondence.
- Act as a gatekeeper, screening and prioritizing incoming communications and requests.
- Prepare and distribute briefing materials, agendas, and presentations for meetings.
- **Project Coordination**:
- Assist in the coordination and execution of various projects across multiple businesses, ensuring timely completion and adherence to quality standards.
- Collaborate with team members to track project milestones, deadlines, and deliverables.
- Conduct research and gather data to support decision-making processes.
- **Travel Arrangements**:
- Manage travel arrangements for the Managing Director, including booking flights, accommodations, and transportation.
- Prepare detailed itineraries and ensure all travel logistics are organized and optimized.
- **Financial Management**:
- Assist in financial management tasks, such as processing expense reports, tracking invoices, and managing budgets.
- Liaise with finance departments and external vendors to ensure timely payments and accurate financial records.
- **Communication Liaison**:
- Serve as a primary point of contact for internal and external stakeholders, representing the Managing Director professionally and courteously.
- Facilitate communication between the Managing Director and various departments, teams, and external partners.
- **Confidentiality and Discretion**:
- Handle sensitive information with the utmost confidentiality and discretion.
- Maintain a high level of professionalism and integrity in all interactions and communications.
**Qualifications**:
- Proven experience as an executive assistant, personal assistant, or similar role, preferably supporting senior executives or business leaders.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communication skills, both written and verbal, with the ability to interact effectively with individuals at all levels.
- Ability to adapt to changing priorities and handle multiple tasks simultaneously.
- Discretion and confidentiality in handling sensitive information and confidential matters.
- Bachelor's degree in business administration, management, or related field is preferred.
