At Concreative, we specialize in custom polished and architectural concrete finishes for a wide range of clients, from residential homes to commercial projects. We are looking for an **Administration Officer focusing on Project Coordination **to join our team and help ensure smooth operations as we implement a new system across the company.

**About the Role**:
The Admin/Project Coordinator will support the team during the rollout of a new system and assist the Founder/Director with a variety of tasks. This includes managing schedules, overseeing payroll and invoicing, and preparing sales proposals. The role will also involve helping maintain smooth office and warehouse operations during the system update.

**Key Responsibilities**:

- Help coordinate the rollout of the new system and ensure it stays on track.
- Organize training for staff and ensure everyone knows how to use the new system.
- Work with vendors and internal teams to resolve any issues during implementation.

**Administrative Support**:

- Manage the Founder/Director’s calendar and schedule meetings.
- Handle staff scheduling to ensure work is well-organized.
- Process payroll, invoices, and other administrative tasks accurately and on time.
- Prepare professional sales proposals for clients.

**Operational Continuity**:

- Keep daily operations running smoothly while the new system is being implemented.
- Serve as a communication point between the office, warehouse, and external partners.

**Documentation & Reporting**:

- Maintain clear and organized records of the implementation process.
- Prepare progress reports and updates for the Founder/Director.

Skills & Experience:
**Essential**:

- Experience in office administration and working with ERP systems.
- Strong organisational skills with the ability to multitask and prioritize.
- Proficient in Xero for payroll, invoicing, and expenses.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.

**Desirable**:

- Experience in the construction industry or a related field.
- Familiarity with system implementation and change management.
- Ability to create professional sales proposals and client-facing documents.
